Position Summary:
Our client, a growing precast concrete manufacturer serving commercial and infrastructure customers across the Carolinas is seeking a hands-on Office Manager to serve as the central link between customers, estimating, and plant operations. This role blends precision estimating with daily coordination and communication—ideal for someone who thrives in a fast-paced manufacturing environment, enjoys process improvement, and wants to make a measurable impact as the company grows.
Key Responsibilities:
Estimating & Bid Coordination
- Review drawings/specifications and perform quantity take-offs for precast components.
- Build accurate quotes: collect supplier pricing, validate assumptions, and confirm scope.
- Manage the bid calendar, track submissions, and maintain a clean bid/quote log and CRM.
- Prepare proposal packages, ensure timely submissions, and follow up post-bid to convert opportunities.
- Transition awarded work to the plant with clear details, dates, and materials requirements.
Plant & Customer Coordination
- Coordinate daily/weekly with the Plant Manager and QC team to review workload and scheduling.
- Provide proactive updates to customers on quotes, timelines, and project statuses.
- Identify and implement process improvements from quote-to-production.
Office Operations
- Maintain office organization—scheduling, supplies, vendor management, document control.
- Support leadership with bid tracking, cost summaries, and weekly reporting.
- Ensure consistent digital file organization and naming conventions.
Must Have Qualifications:
- 3–7 years in construction, or related estimating/operations roles
- Advanced Excel skills; experience with plan-reading tools and CRM systems.
- Strong communication skills across plant, customer, and leadership teams.
- Highly organized, detail-oriented, and proactive in improving systems.
Preferred Qualifications:
- Experience with precast/concrete estimating or construction supplier coordination.
- Familiarity with software, cost tracking, or ERP systems.
- Exposure to DOT, municipal, or commercial bid processes.
Success in 30/60/90 Days:
• 30 Days: Learn systems and workflows; prepare first complete bid independently.
• 60 Days: Implement standardized quote templates and a bid/CRM tracker; achieve consistent on-time submissions.
• 90 Days: Demonstrate measurable improvements in bid accuracy, turnaround time, and coordination flow.
