Job Summary
The main objective of this role is to maintain open deductions at levels consistent with group targets. This involves timely research, validation, and processing of deductions to the appropriate programs within the Blacksmith Trade Promotion Management (TPM) system. Additionally, the role is responsible for pursuing repayment on invalid deductions.
Essential Functions
- Proactively research and address open deductions daily. Activities include gathering documentation from brokers, customers, the field sales team, and customer web portals.
- Review collected documentation and compare it against established terms in the TPM system. Process valid claims and collaborate with the field sales team to resolve any discrepancies. If needed, contact customers to recover invalid deduction amounts.
- Coordinate with logistics to obtain Proof of Delivery for deductions tied to shipping errors.
- Handle customer debits and credits for non-trade related items, including processing offsets in accounts receivable to clear BPCS.
- Work with the Accounts Receivable team to manage cash-on-account balances, ensuring they remain at acceptable levels.
- Identify and implement process and system improvements for greater efficiency.
- Assist in gathering data and documentation in support of annual audits.
- Complete other duties as assigned.
Job Qualifications
Required:
- Intermediate proficiency with Excel, Word, Laserfiche, Account Review, Web Query, and BPCS.
- Willingness to work overtime as required.
- Minimum two years' accounting experience and a high school diploma.
- Strong office management and customer service skills.
- Ability to read and analyze supporting documentation for deductions and communicate effectively with brokers, customers, the field sales team, and internal departments. Must have well-developed interpersonal skills, tact, and persuasiveness.
- Solid mathematical skills.
- Capable of problem-solving independently with minimal supervision.
- Skilled at managing multiple deadlines and resolving disputes efficiently and professionally.
- Initiative to proactively research and resolve recurring deduction issues.
Work Environment
- Primarily office-based with controlled climate conditions.
