Logistics Administrative Assistant
Non-exempt
We are seeking a qualified and reliable Logistics Administrative Assistant with experience in administrative warehouse operations and shipping. This hands-on position operates in both office and warehouse environments and supports the management team by coordinating daily warehouse activities. The role is essential to ensuring efficient operations, accurate processing of goods, and adherence to safety and quality standards.
Key Responsibilities:
- Provide excellent service to internal and external customers, addressing inquiries and resolving order or shipment issues.
- Work closely with inside sales and other departments to resolve shipment or inventory discrepancies.
- Follow all safety guidelines and maintain a clean, organized warehouse that complies with regulatory standards. Safety training or certification is a plus.
- Support daily shipping operations, ensuring timely and accurate outbound shipments. Coordinate with carriers to schedule pickups and deliveries as needed.
- Serve as a secondary contact for freight carriers, LTL providers, and parcel services (e.g., UPS) to resolve shipping issues, track shipments, and ensure on-time deliveries.
- Monitor supplier accounts, verify documentation, and ensure accurate invoicing and payment reconciliation. Work with internal teams to address discrepancies promptly.
- Identify inefficiencies in operations and provide input for long-term solutions to improve accuracy, speed, and cost-effectiveness.
- Oversee procurement of warehouse and office supplies, ensuring adequate inventory levels while managing costs and vendor relationships.
- Work closely with finance to reconcile freight invoices, verify billing accuracy, and resolve discrepancies with carriers. Assist in budgeting and cost analysis for shipping and logistics expenses.
- Strong math, reading, communication, and Microsoft Office skills required.
- Excellent verbal and written communication skills with the ability to coordinate effectively across teams and with external partners.
- Quick learner with the ability to adapt to new processes, technologies, and changing priorities.
- Experience with SAP or similar ERP is a plus.
- High School Diploma or GED required. Associates degree preferred
- Minimum 5 years of experience in a warehouse or logistics environment preferred.
- Physical ability to lift and move packages up to 25 lbs.
- Previous leadership or supervisory experience is a plus.
- Strong attention to detail and ability to follow instructions accurately.
- Must pass a drug test and background check.
- Valid driver’s license required.
