What are the responsibilities and job description for the Accounts Payable Clerk position at Hudson Property Management Services?
What You'll Do
- Review, code, and process a high volume of vendor invoices for accuracy and appropriate approvals
- Match invoices to purchase orders and receiving documents (three-way match)
- Work closely with the property management team to review, code, and approve invoices for each property
- Allocate shared and multi-property invoices accurately across properties and cost centers
- Prepare and process intercompany billings, ensuring charges are recorded correctly across entities
- Reconcile company credit card statements and process credit card billings
- Prepare and process weekly payment runs
- Reconcile vendor statements and resolve discrepancies or payment inquiries
- Maintain accurate, organized records of invoices, payments, and vendor files
- Assist with month-end close, including AP aging reports and accrual support
- Respond to internal and vendor inquiries regarding invoice and payment status
- Support internal controls by flagging unusual or duplicate charges
- Assist with 1099 preparation and other periodic reporting as needed
What We're Looking For
- 1β3 years of accounts payable or general accounting experience; property management or real estate accounting experience a plus
- High school diploma required; associate degree in accounting, finance, or related field preferred
- Comfort coding and allocating costs across multiple properties or entities
- Working knowledge of accounting software (e.g., QuickBooks, RealPage, Yardi, MRI, SAP, or similar)
- Proficiency in Microsoft Excel
- Strong attention to detail and comfort working with high transaction volumes
- Good written and verbal communication skills, with the ability to collaborate cross-functionally
- Ability to prioritize, meet deadlines, and work independently
