We are seeking a Project Coordinator to support the execution of construction projects by assisting Project Managers with cost tracking, contract administration, documentation, and day-to-day project coordination. This role serves as a key link between project teams, contractors, consultants, tenants, and internal stakeholders to help ensure projects are delivered accurately, efficiently, and in alignment with approved scope, schedule, and budget.

We are seeking a Project Coordinator to support the execution of construction projects by assisting Project Managers with cost tracking, contract administration, documentation, and day-to-day project coordination. This role serves as a key link between project teams, contractors, consultants, tenants, and internal stakeholders to help ensure projects are delivered accurately, efficiently, and in alignment with approved scope, schedule, and budget.
What You'll Do
- Review invoices and payment applications with a sharp eye for detail, ensuring accurate coding and smooth, on-time approvals.
- Keep payment workflows moving by actively coordinating with tenants and outside vendors to collect required documentation.
- Draft and manage contracts, change orders, and purchase orders that help projects launch, progress, and close successfully.
- Work closely with tenants, General Contractors, and key stakeholders to gather, track, and organize critical project documentation.
- Team up with project managers to coordinate cash flow reports and support clear, reliable monthly financial reporting.
- Jump in to support internal teams, outside vendors, and contractors—troubleshooting issues and keeping momentum strong.
- Create clear, polished correspondence that reflects professionalism and attention to detail.
- Build, maintain, and refine filing systems to keep information organized, accessible, and up to date.
- Serve as a go-to back-up for Property Management and Project Management teams, helping ensure nothing falls through the cracks.
- Take on additional tasks and special projects as needed to support evolving priorities and team success.
- 2-5 years of general office/administrative experience.
- Minimum of 2 years of experience in commercial real estate or a related industry.
- Excellent computer skills and demonstrated working knowledge of computers and software including MS Windows, Outlook, Word. Proficient in using and Excel for budgets and spreadsheets.
- Familiarity with accounting software programs such as Yardi is a plus.
- Professional demeanor with excellent written and verbal English communication skills to write memos, letters and reports, and interact effectively with contractors, tenants, peers, vendors, and management.
- Ability to work under pressure and manage competing priorities while staying focused and meeting deadlines without sacrificing accuracy.
- Good organizational skills.
- Ability to multi-task, attentive to detail, with excellent follow-up skills.
- Requires a wide range of constant physical activities, including but not limited to: standing, walking, and sitting.
- Requires close, distance, peripheral vision and depth perception.
