About the Role
The Firm Administrator functions much like a Chief Operating Officer (COO)/Controller in non-legal businesses. This role carries broad responsibility across finance, human resources, operations, facilities, marketing, and business systems. The Administrator will work closely with the Owner and executive team to ensure the firm operates efficiently, profitably, and in alignment with our mission and culture.
The Administrator has direct authority over non-attorney staff and managers, with significant input into attorney staffing and firm-wide decision-making.
Key Responsibilities
Leadership & Strategy
- Partner with the Owner and executive team on strategic planning, budgeting, and business growth initiatives
- Lead quarterly and annual planning meetings; monitor KPIs and progress toward firm goals
- Supervise non-attorney managers and staff; build a high-performing, accountable team
Human Resources & People Management
- Oversee recruitment, onboarding, training, and performance management for staff
- Ensure HR policies are compliant with federal/state regulations and aligned with firm culture
- Administer payroll, benefits, and personnel records with confidentiality and accuracy
Finance & Operations
- Partner with CFO/financial team to develop and monitor budgets, forecasts, and financial reports
- Ensure financial controls, billing, trust accounting, collections, and expense management are executed effectively
- Monitor firm-wide productivity, efficiency, and profitability
Business Systems & Process Improvement
- Develop, implement, and audit firm systems across HR, finance, marketing, client intake, and workflow management
- Identify areas for improvement, implement technology solutions, and ensure accountability to processes
Facilities, Risk Management & Marketing Support
- Oversee facilities management, vendor contracts, insurance, and business continuity planning
- Support marketing and business development efforts, ensuring tracking of ROI and lead conversion metrics
Qualifications
- Bachelor’s degree in Business, Accounting, or related field (or equivalent experience)
- 8 years of senior management or executive experience in a professional services firm - Law firm preferred
- Proven track record in HR, finance, and operations management
- Strong leadership and supervisory skills with ability to coach and develop managers and staff
- Tech-savvy, with ability to evaluate and implement systems that improve efficiency and profitability
- Exceptional communication, strategic thinking, and problem-solving skills
- Certified Professional Legal Assistant - Preferred
