What are the responsibilities and job description for the AI Systems Specialist & Front Office Manager at Production Studio position at Hubble Studio?
AI Systems Specialist — Hubble Studio | Los Angeles (Arts District)
Hubble Studio is a premium production space in the heart of the LA Arts District. We work with top-tier brands, agencies, and creators — and we're building the AI infrastructure to match.
We're looking for an AI Systems Specialist to own, grow, and evolve the AI systems that power our operations. This isn't a break-fix role — it's a builder role. You'll work across multiple AI assistants, partner directly with leadership, and be the person who looks at how we work and asks "how do we automate this?"
What you'll do:
- Manage and configure our suite of AI assistants — cron jobs, automations, tool policies, memory systems
- Design and implement new AI workflows that reduce manual work across booking, ops, communications, and marketing
- Build and maintain integrations with Google Workspace, QuickBooks Online, and other tools in our stack
- Develop and automate social media workflows — content scheduling, repurposing, publishing pipelines, and engagement tracking across platforms
- Write and refine AI prompts and workflows that keep our pipeline running and growing
- Proactively identify opportunities to automate repetitive tasks and surface them to leadership
- Troubleshoot issues quickly and translate findings into plain language for the team
- Stay current on AI capabilities and bring new ideas to the table
What you need:
- Comfortable in macOS Terminal — JSON configs, shell commands, SQLite — this is a hands-on role
- Experience with REST APIs and OAuth authentication flows
- Familiarity with AI/LLM tools and prompt engineering
- Google Workspace admin experience
- Experience with social media platforms and automation tools (scheduling, analytics, content pipelines)
- A builder's mindset — you don't wait to be told what to automate, you find it
- Strong problem-solving instincts and the ability to work independently
- Clear communicator — you'll be the bridge between the technical system and a non-technical team
Bonus points for:
- Experience with QuickBooks Online integrations
- CRM or sales automation tools (Apollo, Klaviyo)
- Background in creative, media, or hospitality industries
- Experience designing AI-powered workflows from scratch
- Familiarity with social media analytics and content strategy
What you'll get:
- Ownership of a growing AI operation at a premium studio
- Direct collaboration with leadership on where AI takes the business next
- Creative, fast-moving environment in one of LA's best neighborhoods
- Compensation based on experience
