What are the responsibilities and job description for the Senior Administrative Assistant position at Hubbard Broadcasting?
- Handle confidential business, financial, personnel, personal, and family-related matters with the highest degree of discretion, sound judgment, and professionalism.
- Provide professional administrative support for ownership and family-related needs as directed, including travel arrangements, reservations, event coordination, and other assigned tasks.
- Coordinate internal and external meetings, including room reservations, virtual meeting setup, logistics, agendas, presentations, and supporting materials.
- Serve as a professional point of contact for callers, visitors, vendors, business partners, internal departments, and other external contacts.
- Draft, proofread, distribute, and manage routine correspondence, emails, reports, presentations, and other business communications.
- Coordinate domestic and international travel arrangements, including flights, hotels, ground transportation, itineraries, dining reservations, aviation support, and related logistics.
- Assist with planning and coordinating meetings, conferences, family events, and company-related functions, ensuring all details are organized and communicated accurately.
- Maintain organized electronic and physical filing systems, records, and document retention activities.
- Coordinate office supplies, equipment maintenance, invoices, expense reports, and other general administrative documentation as assigned.
- Work closely with the Senior Executive Assistant and other administrative team members to ensure seamless support across the organization.
- Provide backup administrative support and assist with additional duties and special projects as assigned.
Qualifications:
- Minimum of 5 years of professional administrative support, preferably supporting senior leaders, executives, business owners, or family leadership teams.
- Highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.
- Excellent verbal and written communication skills, with strong customer service and interpersonal abilities.
- Proven discretion, sound judgment, professionalism, and ability to maintain confidentiality.
- Proficient with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
- Able to work independently, adapt to changing needs, solve problems, and effectively support multiple stakeholders.
Working Conditions
- Must be willing to work on-site in the Minneapolis/St. Paul office five days per week.
- Office-based environment with regular use of computers, telephones, and standard office equipment.
- Occasional schedule flexibility may be required to support meetings, events, or travel coordination.
