The ideal candidate will have strong experience in event production, vendor coordination, budgeting, logistics management, and cross-functional stakeholder collaboration.
Key Responsibilities
- Develop comprehensive production project plans, including timelines, resource allocation, and milestone tracking
- Collaborate with creative teams and technical leadership to define production requirements including audio/visual, lighting, sound, and scenic elements
- Coordinate site visits to assess venue capabilities and operational requirements
- Create and manage detailed event production budgets and proactively communicate cost variances
- Ensure all required permits, agreements, insurance documentation, and safety requirements are secured
- Lead vendor sourcing and coordination processes for staging, lighting, catering, facilities, security, and related event services
- Serve as the primary point of contact for internal stakeholders and external production partners during planning phases
- Manage production schedules, run-of-show activities, and event execution logistics
- Oversee load-in, setup, rehearsal, and strike activities while ensuring adherence to safety protocols and labor regulations
- Coordinate transportation and freight logistics for event equipment and materials
- Support talent and speaker logistics, including technical briefings and backstage coordination
- Conduct post-event reviews and coordinate stakeholder debrief sessions
- Reconcile production-related invoices and prepare final financial reporting
- Facilitate lessons learned and continuous improvement initiatives following event completion
- Bachelor’s Degree
- 5 years of progressive experience in live event production
- Strong experience in site coordination and technical direction
- Experience with program and project management
- Proficiency with Microsoft Office
- Strong financial planning and financial reporting experience
- Ability to manage multiple projects, timelines, and stakeholders simultaneously
