Job Summary:
We are seeking a highly professional, resourceful, and proactive Executive Assistant (EA) to support our CEO. This role requires a sharp thinker with exceptional organizational skills, impeccable judgment, and a proven ability to "manage up" — guiding, enabling, and anticipating the needs of the CEO to optimize their time, priorities, and decision-making.
The ideal candidate will act as a true extension of the CEO, handling confidential information, streamlining operations, and ensuring that the CEO is always prepared, informed, and focused on strategic initiatives.
Key Responsibilities:
- Calendar & Schedule Management: Coordinate and manage complex calendars, including internal and external meetings, travel, and personal appointments; proactively resolve scheduling conflicts and prioritize time effectively.
- Meeting Preparation & Follow-Up: Prepare briefing documents, agendas, and materials; attend meetings as needed, take high-level notes, and ensure timely follow-ups and action items are tracked.
- Communication & Gatekeeping: Serve as a liaison between the CEO and internal/external stakeholders, managing inbound communications and ensuring appropriate delegation or escalation.
- Project & Priority Management: Track key initiatives and projects, ensuring deadlines are met and stakeholders are aligned; provide strategic support on business matters as needed.
- Confidential & Strategic Support: Handle sensitive information with discretion and professionalism; assist with board preparation, investor communications, and executive team coordination.
- “Managing Up” Responsibilities:
- Keep the CEO focused on strategic goals, not distractions.
- Offer honest feedback, suggest alternatives, and challenge ideas constructively.
- Identify and fill in gaps — whether it's a missed follow-up, an unread document, or a missed opportunity.
- Act as a thought partner and sounding board for key decisions.
Qualifications:
- 5 years supporting C-level executives, preferably in high-growth, fast-paced environments.
- Demonstrated ability to manage up, stay several steps ahead, and confidently make decisions in a dynamic setting.
- Exceptional organizational, communication, and interpersonal skills.
- Discretion, integrity, and professionalism in handling sensitive matters.
- Strong writing skills and attention to detail.
- Proficiency in Microsoft Office
- Bachelor's degree preferred.
