Front Office Operations Manager Trainee
HPIHair Partners is seeking a professional, mature, client-focused Front Office Operations Manager Trainee to support daily front-office operations and develop into a leadership role.
This is a management-track position for someone with strong experience in office operations, client service, scheduling, organization, and team coordination. The successful candidate will learn HPIHair Partners’ specialized hair-restoration services, systems, client journey, and operating standards while demonstrating the judgment, reliability, and leadership ability needed to advance.
Successful performance may lead to advancement to Front Office Manager and, over time, potential growth toward Practice Manager. Advancement is based on performance, demonstrated capability, business need, and management discretion.
Responsibilities
- Create a welcoming, polished, compassionate experience for clients, prospective clients, referral partners, and visitors.
- Answer phones, manage messages, schedule and confirm appointments, and maintain accurate client and appointment information.
- Support daily front-office flow, appointment readiness, office organization, opening and closing procedures, and administrative operations.
- Assist with lead follow-up, prospect communication, appointment conversions, client retention, and approved business-development activities.
- Help monitor office supplies, client-facing materials, products, and inventory needs; report shortages or operational concerns to management.
- Maintain strict confidentiality regarding client, financial, operational, and business information.
- Assist with workflow improvement, reporting, training, team coordination, and other operational projects as assigned.
- Participate in leadership training, coaching, and professional development.
- Model professionalism, excellent communication, reliability, accountability, sound judgment, and a business-professional appearance.
- Follow all HPIHair Partners policies, attendance standards, client-communication procedures, safety expectations, and standards of conduct.
Qualifications
- Previous experience in office management, front-office operations, medical or customer-service administration, hospitality, retail management, or a similar client-facing leadership role.
- Strong customer-service, communication, scheduling, organization, and problem-solving skills.
- Professional, mature, dependable, discreet, and able to manage multiple priorities in a fast-paced environment.
- Comfortable using office software, email, scheduling systems, spreadsheets, and digital communication tools.
- Willingness to learn hair-restoration services, client procedures, and HPIHair Partners’ systems and standards.
- Ability to maintain confidentiality and represent HPIHair Partners professionally at all times.
Preferred qualifications
- Experience supervising, training, scheduling, or coordinating team members.
- Experience with lead follow-up, sales support, client conversion, referral development, or business development.
- Experience in a medical, aesthetic, wellness, salon, or other service-based practice.
- Social-media and video-recording experience preferred, including comfort capturing professional client-approved content and supporting approved social-media or promotional activities.
- Experience with inventory tracking, purchasing support, or operational reporting.

- Training: Initial onboarding includes learning HPIHair Partners’ front-office operations, hair-restoration services, client communication standards, and leadership expectations.
Pay: $23.00 - $26.00 per hour
Expected hours: 30.0 – 40.0 per week
