About the Role
We are seeking a highly organized and personable Executive Assistant to support our Founder/President. This is our firm’s first dedicated EA role, and we’re looking for someone who thrives in creating structure, anticipating needs, and ensuring smooth operations. The EA will play a key role in keeping leadership focused on clients and strategy while supporting the diverse services we deliver across insurance, benefits, Medicare, and investments.
Key Responsibilities
- Manage and prioritize the Founder/President’s calendar, meetings, and travel.
- Act as gatekeeper for scheduling and communications with clients, staff, and external partners.
- Track and report staff PTO, ensuring coverage across all service areas.
- Order and maintain office supplies, and coordinate with vendors.
- Prepare meeting agendas, gather materials from service teams, and ensure follow-up.
- Draft and manage correspondence for both internal and client communications.
- Support firm events, compliance filings, and special projects.
- Provide general administrative support to enhance team efficiency and client experience.
Qualifications
- 2 years of Executive Assistant, Administrative Assistant, or Office Manager experience.
- Excellent organizational and time management skills.
- Strong communication (written and verbal) and interpersonal skills.
- Proficiency in Microsoft Office, Outlook, Zoom, Salesforce, and willingness to learn industry-specific systems.
- Professional, friendly, and proactive problem-solver.
