Responsibilities

  • Greet visitors, clients, and staff with enthusiasm and professionalism, ensuring they feel valued and attended to promptly.
  • Manage multi-line phone systems efficiently, directing calls accurately and courteously while maintaining excellent phone etiquette.
  • Handle all front desk duties including check-ins, appointment scheduling, and providing information about services or office procedures.
  • Maintain organized filing systems, perform data entry tasks, and manage document proofreading to ensure accuracy and confidentiality.
  • Utilize computer skills across Microsoft Office Suite, Google Workspace, and other office management software to support administrative functions.
  • Support office management activities such as calendar management, scheduling meetings, and coordinating appointments with precision.
  • Assist with clerical tasks such as filing, photocopying, mailing, and managing incoming/outgoing correspondence to keep the office running smoothly.
  • Provide exceptional customer support by addressing inquiries promptly and professionally while maintaining a friendly demeanor.
  • Perform basic bookkeeping tasks using QuickBooks or similar software to track expenses or invoices when needed.
  • Support additional administrative duties such as proofing documents, managing office supplies inventory, and ensuring overall organization.

Qualifications

  • Proven experience in an office environment with clerical or administrative responsibilities; previous front desk or receptionist experience preferred.
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), data entry, and general office management tools.
  • Excellent organizational skills with the ability to multitask efficiently in a fast-paced setting.
  • Exceptional customer service skills with professional phone etiquette and clear communication abilities; bilingual skills are a plus.
  • Experience handling multi-line phone systems and managing appointment calendars effectively.
  • Attention to detail for proofreading documents and maintaining accurate records.
  • Ability to work independently with strong time management skills while supporting team needs.
  • Previous experience in medical or dental receptionist roles is advantageous but not required; relevant personal assistant experience is also valuable.
