POSITION DESCRIPTION
The primary responsibility of this position is to facilitate the agency’s use of Homeless Management Information System (HMIS) as well as the data systems and tools that support HOW’s compliance in using HMIS. This person is the system administrator for HOW’s Salesforce account, creating dashboards, revising tools and overseeing negotiations and renewals with Salesforce. This person serves as HOW’s primary ATA for HMIS; ensures staff are trained in using HMIS, Salesforce and other systems; maintains data integrity, and facilitates the use of HMIS and Salesforce for accurate reporting to HUD, City of Chicago (DFSS and CDPH), Illinois Department of Human Services, and other external public and private funders. This position serves as the point person in HOW’s efforts to utilize data effectively to support program planning and reporting.
Duties and Responsibilities:
- Serves as the agency ATA and primary manager of the HMIS data system
- Serves as the administrator and developer for Salesforce
- Coordinates with staff and partners, such as the All Chicago and refine the organization’s use of the Homeless Management Information Systems (HMIS) database
- Cultivates and maintains an electronic system of up-to-date and relevant program reporting dashboards that are easily accessed by the entire organization using Salesforce
- Submits assigned monthly, quarterly, and annual programmatic reports to funders in third party platforms (SAGE, Homeless Reporting Tool, etc.)
- Generates and responds to internal requests for data reports
- Works with program leadership to establish program performance measures, monitor results, and establish feedback mechanisms to identify areas for program improvement
- Manages all program-related data collection processes and makes improvements/updates as needed to meet the ongoing organizational needs and funder requirements
- Designs, consolidates and revises measurement tools and practices to ensure cohesive, consistent, and high-quality data collection that aligns with internal data priorities and external reporting requirements.
- With input from staff, designs, implements and reports out on the annual client survey
- Trains, coaches, and mentors staff to utilize databases and measurement tools effectively.
- Develops procedures to ensure data quality and reinforces staff adherence to such procedures through training, technical support, ongoing communication and input on annual performance reviews.
- Independently or with external vendors, designs and implements evaluation tools to support strategic performance plan, including both quantitative and qualitative methods as appropriate.
- Works with senior leadership to effectively synthesize results and communicate these internally and externally in supporting fundraising goals
- Supports the development of the Annual Report and reoccurring Board Meetings as needed
- Participates in required staff meetings and trainings
- Attends system level and funder meetings as applicable
- Performs other duties as assigned or approved by direct supervisor
REQUIREMENTS:
- Bachelor’s Degree in a related field
- Two years of work experience in a similar field/position
- Demonstrated ability to perform Salesforce administration and software development, including proficiency in relevant programming languages such as Apex, SOQL, and JavaScript, as well as familiarity with Salesforce APIs, Flow, and Lightning Web Components as needed to support system customization, automation, and integration with organizational data systems
- Proficiency in Microsoft Excel, including the ability to build and maintain complex formulas, pivot tables, and data visualizations to support data analysis, reporting, and the management of large program-related datasets
- Experience with Tableau or similar data visualization platforms, including the ability to build and maintain interactive dashboards and reports that effectively communicate program performance and outcomes to internal and external stakeholders
- Demonstrated experience working with quantitative and qualitative data sets, relational databases, and data analysis software packages (e.g. Excel, SPSS)
- Excellent organization skills, oral and written communication skills
- Excellent computer skills and proficient in Microsoft Office
- Knowledge of homelessness and housing issues; Affordable Housing Practices
- Comfortable working with a diverse group of people

- Experience with HMIS, Homeless Reporting Tool and SAGE is preferred
- Knowledge of research and trends in supportive housing and homeless services preferred
SALARY RANGE: $50,000-$60,000
Work Schedule: Full-time, regular business hours with some flexibility required.
Essential Functions Include:
- Able to lift 25lbs and walk up and down stairs
- Must possess a valid driver’s license and proof of automobile insurance (if applicable)
- Must pass applicable background tests
