JOB SUMMARY
Housing Authority of Asotin County is seeking qualified applicants to fill the role of Public Housing Specialist in Clarkston, WA. This role involves performing a variety of administrative tasks with high accuracy and efficiency.
Under general supervision, performs duties related to the daily operations of maintaining Public/Affordable Housing occupancy and assisting with other assigned administrative tasks as required. Responsibilities include answering phones, greeting visitors, performing all functions of the tenant review process including annual/interim reviews and inspection scheduling. Ensures program compliance is current according to HUD, Fair Housing, and state/local regulations. Proficiency in Microsoft Office, strong communications skills, and the ability to maintain confidentiality are essential.
RESPONSIBILTIES
· Serve as the main point of contact for residents, applicants, and the public for questions, explanation of processes, and any resident concerns
· Process annual/interim reviews of tenant eligibility, which may include:
o Preparing review packets, tracking review status, assisting residents with review paperwork, scheduling inspections, processing income verifications as required, calculating rent, and entering information into the software system
· Maintain resident files and ensure files are ready and available for internal and external audits
· Complete and submit reports that are essential for continued funding and ensure all errors are corrected in a timely manner
· Receive, review, and process applications for multiple waitlists
· Select potential residents from the waitlists and perform screening, which may include:
o Verifying applicant information for accuracy, contacting and interviewing applicants, calculating income, and determining rent amount
· Prepare lease agreements, coordinates move-ins, and review all paperwork/community policies with residents
· Receive and document resident incidents/complaints and direct to the appropriate personnel
· Ensure lease requirements are met and issue compliance notices to residents if requirements are not met
· Receive and respond to Reasonable Accommodation requests following policies and procedures
· Enter rent payments into the software system
· Track delinquent resident accounts ensuring late fees are applied and late rent notices are distributed monthly
· Send monthly statements to tenants as needed
· Receive resident work order requests and enter into software system
· Complete work orders that have been processed by Maintenance and charge tenants appropriately following the resident charge schedule
· Collaborate regularly with accounting, maintenance, and other Housing Authority staff
· Attend meetings and take notes as necessary
· Distribute notices to residents for various capital projects that may be in process
· Scan invoices, send out checks, and file invoices for the accounting department
· Assist the Executive Director with monthly Board reports and meeting minutes
· Assist other staff as assigned or requested
MINIMUM QUALIFICATIONS (REQUIRED)
· At least 1 year of experience in an office environment
· At least 1 year of experience in an administrative support role
· High School Diploma or GED
PREFERRED QUALIFICATIONS
· Associate’s degree in accounting, business administration, or related field
· Experience following federal, state, and local regulations
· Experience with Public/Affordable housing programs
· Basic accounting knowledge
KNOWLEDGE AND SKILL REQUIREMENTS
· Proficient in Microsoft Office suite
· Valid driver’s license
· Strong communication skills, both verbal and written
· Basic math skills
· Collect and analyze large amounts of information
· Work professionally and effectively with residents, Housing Authority staff, state/local agencies, and the public
· Proficiently use a computer and ten key calculator
· Work independently
· Demonstrate strong organizational skills including prioritizing tasks, ensuring accuracy, multitasking, and completing tasks in a timely manner
· Adapt to changing regulations and business needs with a positive attitude and willingness to learn any new requirements
· Ability to work effectively with individuals of diverse cultural and socioeconomic backgrounds
· Maintain confidentiality regarding current and prospective resident information
