JOB SUMMARY
The Associate Designer supports the Design Department by assisting with creative projects, proposal management, and administrative tasks across both the Design and Rental divisions. This role collaborates closely with the Director of Design and Senior Designer to ensure all events are executed with excellence, efficiency, and alignment with company standards.

WHAT YOU WILL BRING TO THE TEAM

Design Support:

  • Oversee all “Rentals Only” orders from initial inquiry through sales and final execution.
  • Collaborate with the Director of Design and Senior Designer on assigned projects, providing support across all related tasks and ad hoc design needs as they arise.
  • Support the Design Director & Senior Designer in all aspects of event design and execution, including:
  • Meeting with planners to review and interpret event objectives and design needs.
  • Bringing new and innovative design concepts to the table
  • Track all creative deliverables through team tools and in accordance with client needs.
  • Research and Development on New Design and Rendering Technology
  • Working closely with the Custom Fabrication manager to source and conceptualize original design solutions
  • Be the connective tissue holistically and know the project inside and out to ensure successful results
  • Developing comprehensive visual design boards that align with the client's vision and brand standards.
  • Preparing detailed proposals and quotes in Goodshuffle.
  • Drive process and timeline with internal and client teams for creative design, reviews, and approvals, AND vendor partners on deadlines, proofs, final file delivery, and onsite execution
  • Analyzing event profitability and recommending efficiencies.
  • Coordinating subrentals, vendor partnerships, and logistics.
  • Communicating project updates and changes to planners and internal teams.
  • Overseeing design execution through event completion, including site tours and day-of presence as needed.
  • Effectively manage a high volume of work and consistently provide a high quality of work output
  • Work closely with Logistics Manager, Operations Assistant, and Warehouse Manager to ensure a seamless production schedule

Process & Administration:

  • Assist with developing and implementing Standard Operating Procedures (SOPs) to streamline and enhance the design process.
  • Support the Director of Design and Senior Designer with updating orders, managing project details, and handling administrative and ad hoc tasks as needed.
  • Support creative budget reconciliation
  • Project wrap and archive content

On-Site Expectations:

  • Provide on-site support for approximately two events per month, or as otherwise assigned, ensuring smooth event execution and representing the design team professionally.

Rental Division (2026 and beyond):

  • Manage and oversee the full-cycle recruiting process for the Rental Division, including creating, posting, and maintaining job listings.
  • Manage the creation and updating of client proposals throughout the design and rental process.
  • Maintain clear and consistent communication between planners and internal teams to ensure alignment, accuracy, and a high level of client satisfaction throughout each project.
  • Contribute to the development and documentation of standard operating procedures (SOPs) for the new division, ensuring all materials distributed to planners and prospective clients are current, consistent, and aligned with company standards.

EDUCATION & EXPERIENCE

  • Bachelor’s or Associate degree in Interior Design, Event Design, Hospitality, Fine Arts, Graphic Design, or a related field. Equivalent professional experience with a strong portfolio may be considered in place of formal education.
  • A strong portfolio demonstrating creativity, attention to detail, and ability to execute high-end designs.
  • 3-5 years of experience in event design, luxury hospitality, or high-end interior design.
  • Experience with luxury events or weddings is highly preferred.

GENERAL INFORMATION & REQUIREMENTS

  • Eligible to work in the United States. Current valid Driver’s License. Willing to travel.
