Position Summary
The Program Coordinator reports to the Executive Director. Tasks are directly related to fulfilling the organization’s mission.
• Administrative: Carry out administrative and clerical duties on behalf of the Executive Director. Schedule in-person or Zoom meetings, and logistics. Set up, attend, take notes, and clean up for all HFW! meetings. Maintain an organized physical and virtual filing system. Respond to all inquiries received by phone, social media, or email. Create and maintain written and virtual publications as directed. Keep the office organized and clean.
• Fundraising: Maintain and update the donor management database, including issuing donation receipt letters, entering data into donation software, and creating mail merge lists for existing contacts. Communicate with donors regarding sponsorship logos and tickets.
• Events: Use of event software to create and monitor ticket sales. Create event flyers and post on social media. Assist with volunteer coordination. Travel within Ventura County to transport event supplies. Engage with attendees while performing registration or booth duties as assigned. Set up and clean up all HFW! events.
• Advocacy: Create city committee agendas and electronically distribute agendas and meeting links to all members. Attend and take notes at all city committees, task forces, town halls, or other meetings as needed.
• Social Media and Outreach: Continuous monitoring and coordination of website updates and other marketing resources. Create social media content for TikTok, Instagram, Facebook, and LinkedIn. Review and edit newsletters before distribution. Maintain and update the contact database. Create mass emails as directed. Share affordable housing flyers with the population we serve.
• Programs: Assist with projects as directed by the Executive Director, which may include immersion, scholarship, bus tour, farm worker housing study, youth meetings, resource fairs, or other programs. Log and track all attendance of all programs. All events and programs may require lifting up to 20 pounds at a time.
• Other duties as assigned
House Farm Workers! maintains an office in Santa Paula. Some tasks may be done remotely with prior approval.
Required
• Verbal and written fluency in English and Spanish
• Associate degree or 1-3 years of administrative experience
• Excellent written and verbal communication skills
• Honest and trustworthy
• Ability to communicate with the people we serve, other community organizations, donors, and volunteers.
• Proficient in the use of Microsoft Office Suite and virtual collaboration tools
• Platform familiarity in CANVA and SharePoint
• Skilled in social media platforms and can create engaging content
• Ability to create and maintain an organized physical and virtual filing system
• High level of organizational and time management skills
• Detail-oriented, proactive, and able to work independently with minimal supervision
• Willingness to travel throughout Ventura County
• Proof of a valid driver’s license and automobile insurance
• Ability to work evenings and weekends on occasion. Work hours for events will vary
• Can work long periods at an event, desk, and on a computer
• Ability to lift up to 20 lbs.
Preferred• Experience in nonprofits
• Ability to translate written materials from English to Spanish
• Knowledge and experience with affordable housing, farm workers, and agriculture
• Platform familiarity in Donorsnap, Constant Contact, Eventbrite, and Adobe
• Full-time position, 30 hours a week
• Work is performed on-site in an office environment, and may require occasional travel within Ventura County to attend meetings, trainings, or perform work-related duties at various locations.
• Typical in-office schedule is Monday – Friday, 9 AM – 3:30 PM.
• The job will require at least one weekend shift a month
• Hourly Rate $24 (negotiable / DOE)

• Jury duty time off with regular base pay for up to three days
• Mileage reimbursed according to IRS guidelines
