SUMMARY Provides member services to property owners and assists with maintenance of the property owner data systems. Completes property transfers and new member setups in the database. Assists delinquent property owners with viable solutions in coordination with the Accounts Receivable/ Collections Coordinator.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Monitor and maintain TEI database to ensure database integrity (including member information, investor information).
- Follow-up on returned/forwarded mail for unknown address changes, using skip tracing software when needed.
- Maintains multi-unit property lists.
- Completes contact forms for new members and/or change of address records.
- Prepares the transfer of properties and owners records in the member database.
- Posts payments of advanced assessments, transfer fees and deposits from sales/title records.
- Writes off balances on past owners when removed in a deed transfer as directed by management.
- Prepares and provides account status (demands) to Title and Mortgage companies when requested and when appropriate buyer/seller authorization is provided. These demands should include any POA fees that need to be collected in excess of assessment balances by the title company and/or mortgage or trustee companies.
- Provides back up to member services to property owners.
- Assists with customer service/payments for assessments or any other receivable.
- Assists with processing of mail-in vehicle and other registrations, fee programs and annual renewals.
- Balances daily transactions and register drawer accurately.
- Regular attendance is required.
- Any other duties as assigned.
QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE: High School graduate or equivalent. Good customer service and phone skills. Attention to detail and experience with managing data records required.
LANGUAGE SKILLS: Ability to read a limited number of two- and three-syllable words and to recognize similarities and differences between words and between series of numbers. Ability to print and speak simple sentences.
MATHEMATICAL SKILLS: Ability to add and subtract two-digit numbers and to multiply and divide with 10’s and 100’s. Ability to perform these operations using units of American money and weight measurement, volume, and distance.
REASONING ABILITY: Ability to apply common sense understanding to carry out simple one- two- step instructions. Ability to deal with standardized situations with only occasional or no variables.
CERTIFICATES, LICENSES, REGISTRATIONS: Requires a valid Arkansas driver’s license and clean driving record with proof of liability insurance.
