Pathfinder Director of Operations and Admissions

Reports to: Pathfinder Executive Director

Position Type: 60-70%, 10-month, some evenings, weekends and on-call required

Start Date: 7/1/2026, with possibility of flexible start date, depending on candidate needs


Position Summary

The Pathfinder Director of Operations and Admissions provides strategic and operational leadership across two key areas: admissions and core Pathfinder operations. This position ensures that the systems supporting Pathfinder’s mission, from enrollment and communications to facilities and daily logistics, run efficiently and effectively. The Director of Operations and Admissions works closely with the Executive Director and members of the administrative team to ensure smooth daily operations, strong communication across departments (including the After-School and Summer Programs), and a welcoming, mission-aligned experience for all students and families.


Key Responsibilities

Admissions and Enrollment

  • Oversee the full admissions process from inquiry through enrollment and onboarding. Plan and execute admissions events, including school visits, community outreach, and on-campus “Interview Day.”
  • Serve as the primary point of contact for prospective families and partner schools. Manage communications throughout the admissions process to ensure a warm, professional, and timely experience for families.
  • Coordinate with New Haven Public School Guidance Counselors to identify and recruit mission-appropriate candidates.
  • Maintain accurate enrollment data and assist in generating reports to support institutional decision-making.
  • Ensure that recruiting materials are accessible and inclusive for all prospective families and students.
  • Routinely evaluate and update application materials to reflect current practices and priorities.
  • Communicate admissions decisions to families in a clear and timely manner.

Operations and School Systems

  • Oversee day-to-day operational functions, including facilities use, transportation logistics, and the program calendar.
  • Serve as the lead facilitator for the Student Information System (SIS), providing staff training, troubleshooting, and ensuring data accuracy.
  • Ensure the timely and accurate completion of student progress reports and performance evaluations for Teaching Fellows and Volunteers.
  • Ensure families, students, and staff are introduced to current policies and notified promptly of any updates or changes.
  • Facilitate transitions between the After-School and Summer Programs to ensure continuity and effective coordination.
  • Oversee medical compliance documentation, medication storage/dispersion/disposal, and related health and safety protocols.
  • Support collaboration among academic, administrative, and support teams to ensure efficient daily operations.
  • Manage vendor and service provider relationships related to transportation and facilities.
  • Generate contracts for new and returning families and ensure timely execution and record-keeping.

Leadership and Collaboration

  • Serve as a member of the Pathfinder administrative leadership team, contributing to Pathfinder-wide planning and strategic initiatives.
  • Work closely with the Executive Director to align operational and admissions practices with institutional priorities and budget considerations.
  • Act as a liaison among feeder schools and community partners to ensure clear communication, accountability, and effective collaboration.
  • Represent the school at admissions, community, and partner events, building relationships that strengthen the school’s visibility and reputation.


Qualifications

  • Bachelor’s degree required; Master’s degree preferred.
  • Minimum of five years of administrative experience preferred, preferably in school operations, admissions, or enrollment management.
  • Demonstrated success managing complex systems and logistics in an educational setting.
  • Proficiency with Student Information Systems and data management.
  • Excellent organizational, interpersonal, and communication skills. Strong leadership, initiative, and the ability to manage multiple priorities in a fast-paced environment.
