JOB SUMMARY: Hopi Junior/Senior High School is seeking applicants for a Secretary position for the Federal Programs department who are organized, enthusiastic and looking for the opportunity to support students and staff. The Federal Programs Secretary, under general supervision of the Federal Programs Director, performs a wide variety of routine clerical duties including typing, filing, copying, scheduling meetings, and assisting in all administrative duties for the functioning of the federal programs office. In addition, in this role the Secretary will establish strong family/school communications on issues that parents would like to address with school faculty or staff with the input and support of the Parent Advisory Committee (PAC). Hopi Junior/Senior High School is committed to helping all students develop skills in the areas of personal-social growth and educational planning and notes the importance of including family and community members to be part of this development. This position provides support to the McKinney-Vento program, ensuring the successful implementation of the McKinney-Vento Homeless Assistance Act to meet the educational needs of students experiencing homelessness.
ESSENTIAL FUNCTIONS:
THE LIST OF ESSENTIAL FUNCTIONS IS NOT EXHAUSTIVE AND MAY BE SUPPLEMENTED.
- Assists in the coordination and conducts home visits and family meetings and provides translations for the purpose of assessing situations, improving communication, providing information regarding school policies and programs, community programs, and/or providing referrals.
- Prepares, collects, and distributes reports, data and information at the direction of the Federal Programs Director.
- Coordinates copying, printing, recording and/or video recording services on behalf of the Federal Programs Department.
- Assists in scheduling travel and meetings, and handles other scheduling concerns in consultation with and on behalf of the Federal Programs Director.
- Assists in scheduling, advertising, implementing, and evaluation of Family and Community Involvement and McKinney-Vento Program activities and events.
- Assists in creating and/or updating any evaluative surveys for parents, families or community members to ensure that the programming is meeting their needs.
- Assists the Federal Programs Director in developing relevant and needed parent trainings, workshops, schedule and finds consultants to deliver trainings.
- Collaborates with assists teachers with planning and implementing parental efforts.
- Collaborates with the Family Support Team/Parent Advisory Committee of Hopi Junior/Senior High School.
- Organizes and implements student and family instructional activities (i.e. S.T.E.M Night/Literacy Night).
- Attends Parent Teacher Organization (PTO) meetings and other meetings affiliated with Family and Community Involvement (i.e. PAC meetings).
- Helps establish partnerships with Community groups such higher education institutions, local businesses, and organizations to support Parent and Family engagement activities and events.
- Serves as a contact person for parents to address student issues with appropriate school personnel.
- Maintains the administrative office of the Federal Programs Department in a positive, attractive, and welcoming manner.
- Conducts duties and responsibilities in accordance with the Hopi Junior/Senior High School Governing Board Procedures.
- Manages communication with schools and the public regarding the educational rights and services available to McKinney-Vento students.
- Supports the tracking of student attendance and academic progress.
- Performs other administrative support services as assigned by the Federal Programs Director.
KNOWLEDGE AND SKILLS REQUIRED:
- Skills in performing clerical work with speed and accuracy.
- Ability to understand and carry out oral and written instructions.
- Knowledge of and skill in using basic computer programs (Microsoft Office/Internet) as well as standard office equipment.
- This position is highly visible, requiring the ability to interact well with students, faculty, staff and the public knowledge and ability to provide training for parents.
- Ability to maintain accurate records and reports on parent participation.
- Knowledge and ability to develop collect, analyze and translate data on Parent, Family and Community involvement.
- Knowledge and ability to develop, design, coordinate and implement engaging educational events for students and families.
- Knowledge of general safety rules and techniques and skills in monitoring and correcting student behavior.
- Knowledge of relevant Hopi Junior/Senior High School district rules of conduct and ethics knowledge and familiarity with Arizona’s Department of Education’s Parent and Community Resources: (http://www.azed.gov/title-i/programs/parent-engagement/)
QUALIFICATIONS:
- Graduation from High School or GED and a minimum of three years successful experience in working as a Secretary in an educational system preferred.
- Demonstrated competency in office management, computer system operation, typing (minimum of 60 wpm), stenography, filing, video recording, recording, scheduling, receptionist, recording meeting minutes and proceedings and other applicable skills required.
- Experience coordinating family/community involvement programs and interfacing with many different groups (parents, grandparents, community members, teachers, and school-based staff and administration.)
- Experience that demonstrates skills and competency in working with Tribal Schools and communities.
- Must possess a current Valid Arizona Driver’s License.
- Individual must submit to an intensive background investigation.
PREFERRED QUALIFICATIONS:
- Indian Preference in employment considered.
- Obtained an Associate’s or Bachelor’s degree.
- Two years minimum of successful job experience conducting similar activities.
ADDITIONAL REQUIREMENTS AFTER HIRE:
- Willing to attend workshops and in-service training for a period of two or more days to improve office skills when necessary.
TERMS OF EMPLOYMENT: School year contract (10 months). Salary and work year established by the Governing Board per administrative salary schedule.
