Job Summary
The Client Services Specialist is the first point of contact for Hope Haven, providing excellent customer service to clients, visitors, and callers. This role supports front desk operations, scheduling, payment processing, and general administrative functions while maintaining a positive and professional environment.
Key Responsibilities
- Open and close the facility following clinic policies and security procedures
- Answer and route calls using a multi-line phone system; provide general information
- Greet and direct clients and visitors; issue visitor badges as needed
- Collect and process payments; secure and reconcile daily receipts in Zanda
- Schedule, reschedule, and cancel appointments
- Maintain accurate client records and process paperwork and consents
- Enter charges, process claims, and assist with basic billing and A/R follow-up
- Manage mail, faxes, supplies, and program tracking spreadsheets
- Conduct mental health screenings by phone or in person
- Assist with special projects, team coverage, and required meetings/trainings
Qualifications
- High School diploma or equivalent
- 1 year of administrative or front desk experience (healthcare preferred)
- Experience with patient scheduling systems (Zanda preferred)
- Strong customer service and communication skills
- Organized, dependable, and able to multitask
Job Type: Full-time
Pay: $17.00 - $19.00 per hour
