Hope Christian Health Center is a non-profit, faith-based organization operating three clinics in Las Vegas, NV a mobile outreach team, and the HCHC Recuperative Care Center (HCHC RCC) in Las Vegas.
The HCHC RCC is a 38 bed inpatient program that offers
primary care, case management, wound care, and other supportive services to clients who are homeless made possible through partnership with the City of Las Vegas.

JOB SUMMARY: Administrative Assistant II provides high-level administrative support to the Chief Financial Officer (CFO) and other departments as needed. This role supervises Administrative Assistant I and ensures efficient and professional administrative operations. The position requires excellent organizational skills, attention to detail, and the ability to maintain confidentiality.
DUTIES AND RESPONSIBILITIES:
Administrative Duties:
- Serves as the primary point of contact for all insurance policies, including but not limited to General Liability, Supplemental Malpractice, Workers' Compensation, Directors and Officers, Cyber, and Automobile.
- Manage business license renewals and other required business-related paperwork.
- Oversee and maintain the policy management software, ensuring policies are current and accessible.
- Provide support to the Executive Assistant as needed.
- Prepare the weekly newsletter, by gathering and organizing content.
- Update and create forms, letters, and other administrative documents, as necessary.
- Prepare accurate and detailed minutes for leadership meetings and assist with minute taking for other meetings as needed on a rotating basis.
Staff Meetings:
- Collect agenda items from various departments and collaborate with the Administrative Assistant I to prepare the meeting agenda and prescription slides.
- Oversee the conference room calendar, scheduling meetings, and prevent scheduling conflicts.
- Manage documentation for training sessions conducted during staff meetings, ensuring accurate attendance records and topic tracking.
Supervisory Responsibilities:
- Provide direct supervision to staff, offering guidance, support, and oversight to ensure high quality work and adherence to organizational standards.
- Manage staff schedules and approve timecards, and review PTO requests to ensure accuracy and proper coverage.
- Conduct regular performance review, provide coaching, and implement disciplinary actions when necessary.

- Ensure compliance with HIPAA regulations and safeguard patient information. -
- The Administrative Assistant II ensures compliance with all 19 Health Resources and Services Administration (HRSA) Health Center Program Requirements.
- The Administrative Assistant II is also expected to actively participate in and support quality improvement activities and the clinical practice team efforts emphasizing the importance of the individual patient and putting the patient’s needs first.
- Perform all other duties as assigned.
Qualifications:
- At least 1 year experience as an administrative assistant
- At least 1 year of supervisory experience - required
- Experience in Microsoft Office Suite (Word, Excel, PowerPoint, Teams
- Working knowledge of office equipment (e.g., optical scanner) - Preferred
- Organized with the ability to prioritize and multi-task.
Education:
- High School Diploma or equivalent- required

TYPICAL PHYSICAL DEMANDS:
Occasional standing, walking, lifting, reaching, kneeling, bending, stooping, pushing, pulling, and lifting and/or moving up to 25 pounds. Frequent sitting. Manual dexterity. Good reading eyesight and vision for close work. Ability to communicate by speaking and hearing in person or on the phone. Ability to travel to various locations.
