Definition
Performs a wide variety of administrative duties in support of the Sheriff’s Office including processing and maintaining jail files, responding to requests for information, preparing correspondence, and providing customer service to the public.
Examples of Important Responsibilities and Duties—Important responsibilities and duties may include, but are not limited to, the following:
- Retrieve, process, and file inmate files from the Hood County Jail.
- Process and respond to Public Information Act requests from the Department of Family Protective Services.
- Process and respond to inter-agency requests from other law enforcement agencies and probation/parole officers.
- Provide input to the monthly Records report for the County Commissioners.
- Process and record information from the III forms into Motorola Flex.
- Process the periodic death lists, to include inputting data into Motorola Flex and retrieving and disposing of any inmate records.
- File paper case files in accordance with Texas State Library and Archives Commission standards for local governments.
- Act as first back-up to the front desk.
- Act as back-up to Records Specialist B.
- Answer phone, email, and in-person questions from internal and external officers, agencies, investigators, and citizens.
- Operate a computer, printer, and scanner.
- Perform clerical duties.
- Obtain and maintain CJIS training certificate.
- Perform other duties as assigned.
Qualifications
Knowledge of:
1. Office practices and software, including Microsoft Word and Excel.
2. Rules of grammar.
3. Document and business letter preparation.
4. Statutes and ordinances regulating the distribution of information.
Ability to:
1. Communicate clearly, both verbally and in writing.
2. Operate a computer, printer, and scanner.
3. Provide effective, tactful customer service.
4. Organize and maintain records.
5. Work independently.
Experience and Training Guidelines: Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying.
- High School diploma or GED.

This job is in a climate-controlled environment.
Physical Conditions:
Essential and other important responsibilities and duties may require maintaining physical condition necessary for standing or sitting for prolonged periods of time, lifting, and carrying up to 25 pounds; kneeling and climbing stairs during assigned activities.
