Job Duration: 4 months contract and FTE
Pay Rate: $25.00/hour
Job Summary:
We are seeking a highly organised and detail-oriented Administrative Support Specialist to provide comprehensive administrative assistance to members. This position requires a proactive and independent professional who can manage multiple tasks efficiently, maintain high accuracy, and provide excellent customer service to faculty, staff, and research teams. Prior experience is preferred.
Key Responsibilities:
- Process Workday transactions, including travel and purchase reimbursements.
- Purchase laboratory and course supplies using the Buys system.
- Assist with departmental and university events, including evening and occasional weekend events: reserving rooms, tracking RSVPs, making name tags, and event staffing.
- Conduct internet research and organize data for reports and presentations.
- Prepare and edit complex documents such as reports, presentation materials, and tables.
- Maintain accurate records and ensure attention to detail in all administrative tasks.
- Work independently with guidance and collaborate effectively with team members.
Required Qualifications:
- Associate’s degree or equivalent combination of education and work experience.
- Minimum 3–5 years of administrative or clerical experience.
- Proficiency in Microsoft Word, PowerPoint, Excel, Outlook, and mail merge capabilities.
- Strong organisational, multitasking, and interpersonal skills.
- Ability to work under pressure while maintaining a high level of accuracy.
- Excellent written and verbal communication skills.
- Commitment to working effectively in a diverse and inclusive community.
Preferred Qualifications:
- Previous administrative experience.
- Familiarity with Workday and Buys systems.
