Job Title: Administrative Coordinator
Job Location: 184 Hope Street, Providence, Rhode Island 02912

Job Duration: 4 months contract and FTE

Pay Rate: $25.00/hour

Job Summary:
We are seeking a highly organised and detail-oriented Administrative Support Specialist to provide comprehensive administrative assistance to members. This position requires a proactive and independent professional who can manage multiple tasks efficiently, maintain high accuracy, and provide excellent customer service to faculty, staff, and research teams. Prior experience is preferred.

Key Responsibilities:

  • Process Workday transactions, including travel and purchase reimbursements.
  • Purchase laboratory and course supplies using the Buys system.
  • Assist with departmental and university events, including evening and occasional weekend events: reserving rooms, tracking RSVPs, making name tags, and event staffing.
  • Conduct internet research and organize data for reports and presentations.
  • Prepare and edit complex documents such as reports, presentation materials, and tables.
  • Maintain accurate records and ensure attention to detail in all administrative tasks.
  • Work independently with guidance and collaborate effectively with team members.

Required Qualifications:

  • Associate’s degree or equivalent combination of education and work experience.
  • Minimum 3–5 years of administrative or clerical experience.
  • Proficiency in Microsoft Word, PowerPoint, Excel, Outlook, and mail merge capabilities.
  • Strong organisational, multitasking, and interpersonal skills.
  • Ability to work under pressure while maintaining a high level of accuracy.
  • Excellent written and verbal communication skills.
  • Commitment to working effectively in a diverse and inclusive community.

Preferred Qualifications:

  • Previous administrative experience.
  • Familiarity with Workday and Buys systems.

  • Parking is available on the street or metered.
