The Document Services Specialist, under the general supervision of the Office Administrator, will be proficient in Microsoft Office Suite and Adobe Acrobat, with a strong ability to format, convert, and manage a wide range of documents. This role requires excellent communication and organizational skills, as well as the ability to work effectively with project managers and attorneys to address document-related issues. The Document Services Specialist will ensure deliverables are completed on time and problems are anticipated and resolved quickly. Other duties and responsibilities as assigned. This position requires in-office support, Monday through Friday and will work afternoons and evenings, approximately 12:00 PM - 8:30 PM.
Responsibilities
- Document Formatting: Utilize Microsoft Word, Excel, PowerPoint, SharePoint, and Outlook to format and prepare documents according to firm standards and styles.
- Collaboration: Work closely with project managers and attorneys to identify and resolve document issues, ensuring all documents meet required specifications.
- Deliverable Management: Manage and prioritize deliverables to ensure tasks are completed on time, anticipating and resolving any issues that may arise.
- Data Entry Support: Provide accurate and efficient data entry support to various departments.
- Additional Duties: Perform other duties as deemed necessary by management to support the overall goals of the organization.
Qualifications
- Proficiency: Advanced proficiency in Microsoft Word, Excel, PowerPoint, SharePoint, and Outlook, as well as Adobe Acrobat.
- Technical Expertise: Demonstrated expertise in working with technical documents and style manuals.
- Analytical Skills: Exceptional analytical skills, with the ability to identify and resolve issues efficiently.
- Organizational Skills: Superior organizational skills, with the ability to manage and prioritize multiple tasks simultaneously and work within tight timelines.
- Communication Skills: Excellent oral and written communication skills, with the ability to convey complex information clearly and effectively.
- Interpersonal Skills: Strong interpersonal skills, with the ability to work collaboratively with team members across various departments.
- Flexibility: Ability to work virtually with teams across multiple time zones, demonstrating flexibility and adaptability.
Preferred Qualifications
- Experience in a legal or corporate environment.
- Familiarity with document management systems.
- Certification in Microsoft Office Specialist (MOS) or similar credentials.
Pay Range and Compensation Package
Honigman provides a generous total compensation package, which includes comprehensive health and well-being benefits, as well as 401k and profit sharing. The anticipated annual pay range for this role is $48,000 to $68,000 (non-exempt). The actual offered pay rate will be determined based on various factors, including qualifications, experience, geographic location, education, external market data, and internal equity considerations.
