Job Summary
We are seeking an energetic and highly organized Office Manager to lead the daily operations of our busy office environment. This vital role involves overseeing administrative functions, managing office systems, and ensuring smooth communication across departments. As the Office Manager, you will serve as the backbone of our office, supporting staff and maintaining a welcoming, professional atmosphere that promotes productivity and teamwork. This includes but is not limited to working with developmentally disabled individuals.
Duties
- Manage front desk operations, including greeting visitors, handling multi-line phone systems, and providing excellent customer service.
- Oversee office administration tasks such as filing, data entry, proofreading, and maintaining organized records.
- Utilize software tools like Microsoft Office, Google Workspace, QuickBooks, and other computer applications to support daily operations.
- Coordinate calendar management and schedule appointments or meetings for staff members and executives.
- Handle clerical responsibilities including typing correspondence, managing invoices, bookkeeping, and supporting accounts receivable/payable processes.
- Maintain office supplies inventory and oversee vendor relationships to ensure the office runs smoothly.
- Provide exceptional customer support by addressing inquiries promptly and professionally while practicing proper phone etiquette.
- Assist with staff coverage
Qualifications
- Proven experience in office management or administrative roles with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and basic computer literacy.
- Experience with QuickBooks or similar bookkeeping software is preferred.
- Excellent communication skills in both English and bilingual (if applicable), with a friendly phone manner.
- Demonstrated ability to manage multi-line phone systems and handle front desk responsibilities efficiently.
- Strong attention to detail with proofreading, data entry accuracy, and filing expertise.
- Previous experience as a medical or dental receptionist or personal assistant is a plus.
- Knowledge of office procedures such as calendar management, time management techniques, and clerical best practices.
