Job Summary
We are seeking an energetic and detail-oriented Front Desk Agent to be the welcoming face of our organization. Responsibilities

  • Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly.
  • Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette.
  • Handle scheduling, calendar management, and appointment setting for staff or professionals within the organization.
  • Maintain organized filing systems, data entry records, and ensure all documentation is accurate through proofreading and careful review.
  • Support office operations by managing supplies, coordinating mailings, and assisting with clerical tasks such as photocopying and faxing.
  • Use computer skills including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace applications, and basic bookkeeping tools like QuickBooks to support administrative functions.
  • Provide customer support by addressing inquiries efficiently via phone or in person while maintaining excellent customer service standards.

Skills

  • Proven experience in office management or administrative roles with strong clerical skills.
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
  • Proficient in computer literacy including Microsoft Office, Google Workspace, data entry, and basic bookkeeping software such as QuickBooks.
  • Strong communication skills with the ability to demonstrate professional phone etiquette; bilingual abilities are a plus.
  • Experience with front desk operations in medical or dental settings is desirable but not required.
  • Ability to handle sensitive information discreetly while maintaining accuracy through proofreading and data entry.
  • Demonstrated time management skills with the capacity to prioritize tasks efficiently.
