Job Overview:
We are seeking an organized and detail-oriented Office Assistant to join our team. As an Office Assistant, you will be responsible for providing administrative and clerical support to maintain an efficient office environment. Duties include creating and managing work orders, help with planning day to day operations, talking to clients, managing calendars, scheduling vendors and providing support to the team. The ideal candidate will have excellent organizational and communication skills, as well as the ability to multitask and prioritize effectively.
Responsibilities:
- Perform general office duties such as answering phone calls, responding to emails, and managing correspondence
- Coordinate and schedule appointments, meetings, and events
- Reviewing and distributing reports via a software-based system
- Organize & summarize issues by property
- Maintaining accurate records and files
- Tracking of technicians in the field
- Inventory supplies & order materials, when necessary
- Manage office calendars and ensure timely completion of tasks
- Develop weekly schedules and update schedule daily
- Support with vendor management and maintaining relationships
- Assist with social media posts, special projects and ad hoc tasks as assigned
- Light research, as needed
- Support Office Manager and other team members as needed
- Ensure the office is clean and organized.
Qualifications:
- Proven experience in a customer service and/or administrative role
- Strong time management and organizational skills with the ability to multitask and prioritize effectively
- Excellent written and verbal communication skills
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Ability to work independently with minimal supervision
- Attention to detail and problem-solving skills

- Monday to Friday - 9am - 5pm
- Rare after-hours / weekend support (during emergencies)
