Responsibilities
- Oversee the daily operations of the office, including front desk management, multi-line phone systems, and calendar coordination.
- Oversee properties and tenants.
- Manage vendor relationships, negotiate contracts, and coordinate services such as office supplies, equipment maintenance, and facility management.
- Coordinate and plan company events, meetings, and training sessions to promote team engagement and professional development.
- Handle bookkeeping tasks using QuickBooks or similar software to maintain accurate financial records, including invoicing and expense tracking.
- Record keeping, filing systems, and compliance documentation.
- Manage budgeting processes to ensure efficient allocation of resources while maintaining cost-effective operations.
- Maintain organized office records through meticulous filing systems—both digital and physical—and ensure confidentiality of sensitive information.
- Implement office policies related to phone etiquette, visitor management, scheduling procedures, and overall administrative protocols to enhance operational efficiency.
Experience
- Proven supervisory experience in an office or administrative setting with demonstrated leadership skills.
- Strong background in office management functions including clerical work, bookkeeping, and vendor relations.
- Experience with event planning for corporate or community events that foster team cohesion.
- Proficiency in QuickBooks accounting software for financial management tasks.
- Excellent communication skills with the ability to coordinate multiple schedules and manage front desk operations effectively.
- Prior experience in medical office management or similar healthcare environments is a plus but not required.
