About the Role:
We are looking for a highly organized and detail-oriented team member to support our accounting and office operations as an Accounting and Office Assistant. This is a collaborative position that requires excellent time management, strong organizational skills, and a dedication to producing accurate, high-quality work.
Key Responsibilities:
- Review, verify, and process weekly employees expense reports and vendor invoices
- Enter correct accounting codes in QuickBooks Online Accounts Payable
- Create Delayed charges in QuickBooks Online Customer billings
- Scan and upload processed employees expense reports to SharePoint and file them in the AP files
- File weekly paid vendor invoices in the AP files
- Reconcile monthly vendor statements and bank credit card statements
- Ensure compliance with internal controls and company policies for all accounts payable transactions
- Assist the Office Manager with day-to-day administrative tasks, scheduling, and project coordination
- Monitor office supply inventory, kitchen supplies and place orders as needed
- Assist with maintaining a clean and safe working environment
- Assist with company celebration and team building events
- Make coffee and stock kitchen snacks daily
- Other ad-hoc projects as needed
What We’re Looking For:
- Associate degree in accounting, business, or a related field preferred (or equivalent experience)
- 1-2 years of experience in an accounting, or office support role
- Solid understanding of accounts payable and employee expense report processing
- Experience with QuickBooks Online preferred
- Ability to enter data accurately while following established accounting procedures
- Strong attention to details and ability to review and audit one’s own work
- Familiarity with scanning, filing, and document management (SharePoint experience is a plus)
- Proficient knowledge of Microsoft Office (Excel, Word, Outlook)
- Ability to manage multiple tasks and meet weekly and monthly deadlines
- Strong organizational, time-management, and problem-solving skills
- Dependable, professional, and able to handle confidential information with discretion
- Willingness to assist with general office duties and team support tasks as needed
- Positive attitude and ability to work collaboratively in a team environment
