Administrative Assistant I
Location: Santa Clara, CA
Pay Range: $22- $28 per hour DOE
Work Schedule: Monday through Friday, 8:00 am to 4:30 pm
Temp to Hire, Full Time, Onsite
We are actively seeking an Administrative Assistant with 2 plus years of experience to join a growing medical device manufacturer in the Santa Clara area. This company develops and produces advanced polymer based medical devices that support diagnostic and interventional procedures in key clinical areas such as vascular access, electrophysiology, and cardiovascular care.

In this role, you will support sales operations, customer service, production, and leadership by helping keep orders, documentation, and communication organized and accurate. What You Will Do
  • Generate NPI quotes in the ERP system and send them to customers in a clear and timely manner
  • Enter sales orders accurately and promptly in the ERP system so information stays current and reliable
  • Respond to customer inquiries by email and phone, providing professional and timely updates
  • Coordinate with internal teams to confirm order details, schedules, and delivery information
  • Monitor and close NPI jobs, confirming router times and other key data are reviewed and updated as needed
  • Maintain organized physical and digital filing systems so documents are easy to find and compliant with company standards
  • Create, update, and archive files according to established retention and documentation requirements
  • Systematically close work orders in the ERP system, verifying that labor, materials, and transactions are complete and correct
  • Prepare and kit work orders for production, ensuring materials, travelers, and documentation are complete and delivered to the production floor on time
  • Track employee EHS certifications and training requirements and schedule trainings when needed
  • Maintain accurate EHS training logs and assist with document control, audits, reporting, and other compliance related tasks
  • Support general office needs including scheduling, document preparation, supply management, answering phones, greeting visitors, and assisting leadership and cross functional teams as needed
To Be Successful In This Role You Will Bring
  • 2 or more years of administrative or office support experience, with experience in a manufacturing environment preferred
  • Strong organizational skills and the ability to manage multiple tasks and priorities without losing attention to detail
  • Solid skills in Microsoft Word, Excel, and Outlook, with experience using ERP systems strongly preferred
  • Salesforce experience is a plus and will help with customer and sales related activities
  • Clear and professional verbal and written communication skills
  • The ability to work independently while also collaborating well with different teams and departments
  • Bilingual Spanish skills preferred and helpful in supporting a diverse workforce and customer base
