Job Summary
We are seeking a dynamic and highly organized Administrative Assistant to join our team! Responsibilities

  • Manage front desk duties including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
  • Maintain organized filing systems, data entry records, and ensure accurate document proofreading and editing
  • Oversee calendar management for executives and team members, scheduling appointments and coordinating meetings efficiently
  • Utilize Microsoft Office Suite and Google Workspace tools to prepare reports, presentations, and correspondence
  • Support bookkeeping activities using QuickBooks or similar accounting software; handle basic invoicing and expense tracking
  • Provide exceptional customer support through clear communication, timely responses, and attentive service to clients
  • Assist with office management tasks such as ordering supplies, maintaining office equipment, and ensuring a clean, organized workspace

Experience

  • Proven office experience with a strong background in administrative support roles
  • Familiarity with clerical tasks including filing, data entry, proofreading, and document management
  • Experience using Microsoft Office (Word, Excel, Outlook)
  • Prior customer service experience with excellent phone etiquette and interpersonal skills
  • Knowledge of QuickBooks or bookkeeping software is preferred but not required
  • Bilingual abilities are a plus to effectively communicate with diverse clients and team members
  • Demonstrated organizational skills with the ability to prioritize tasks efficiently and manage time effectively
