Job Overview: Support owner in daily office needs and manage general administrative activities.

Main Responsibilities and Duties:

  • Handle administrative requests and queries from owner
  • Organize and schedule appointments
  • Screen owner’s calls and emails
  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Plan meetings and, when needed, take detailed minutes
  • Answer and direct phone calls
  • Maintain contact lists
  • Book travel arrangements
  • Maintain/manage maintenance, tracking, and detailing for the company fleet
  • Submit and reconcile expense reports
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system
  • Order office supplies and research new deals and suppliers
  • Cover receptionist during breaks, and lunch hours
  • Update and maintain office policies and procedures
  • Run errands as necessary
  • Follow procedures and systems within DDPM guidelines to ensure orderly, efficient workflow

Qualifications:

  • 3 years of clerical/assistant work
  • 60 WPM typing
  • Good working knowledge of Gmail, Google calendar, Google Sheets and docs
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Excel, MS Word, MS PowerPoint)
  • Property Management experience preferred
  • Completion of high school education; additional qualification as an Administrative assistant or Secretary will be a plus

  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task

Full Time, 40 hours per week, In-Office

Pay: $20.00 - $25.00 per hour
