What are the responsibilities and job description for the Home Care Scheduling and Weekend Manager - Hybrid WFH position at Home Matters Caregiving?

We are looking for a confident, highly organized Scheduling Manager to oversee scheduling and operations during our extended weekend coverage. This is a unique four-day hybrid position, Thursday through Sunday, combining two days in our Beaverton office with two primarily work-from-home days.
This is an ideal position for someone with home care experience who is an excellent problem solver, stays calm when plans change, and is comfortable making decisions independently.
Schedule & Work Location
Thursday & Friday: 8:30 AM–5:00 PM — Beaverton office
Saturday & Sunday: 8:30 AM–5:00 PM — Primarily work from home
While Saturday and Sunday are primarily remote, this is not a fully remote weekend position. The Scheduling Manager must be available to leave home when needed to support weekend operations. This may include completing caregiver/client introductions, assisting with urgent client needs or intakes, or filling a caregiver shift when a last-minute replacement cannot be found.
The position also serves as a key point of contact for weekend operations and must be available to respond appropriately when situations require in-person support.
Key Responsibilities
- Manage incoming calls and communications during scheduled hours.
- Manage caregiver and client schedules and respond quickly to call-outs, open shifts and last-minute scheduling changes.
- Review upcoming schedules and proactively work to fill open shifts through Tuesday of the following week.
- Update caregiver schedules, client information, tasks and profiles in our scheduling system.
- Monitor caregiver clock-ins and address potential coverage issues before they become problems.
- Communicate professionally and compassionately with caregivers, clients and family members.
- Return voicemails promptly and consistently monitor phone and email communications.
- Serve as a primary decision-maker for routine weekend staffing and client situations, following Home Matters Caregiving policies and procedures.
- Coordinate with the After-Hours and On-Call Managers when situations require additional support.
- Complete caregiver/client introductions for first shifts when needed.
- Assist with new client intakes and assessments when appropriate.
- Be available to respond in person when a weekend situation requires it.
- In the event of a caregiver no-show or last-minute call-out, actively work to find replacement coverage. If a replacement cannot be secured, you must be willing and able to personally fill the caregiver shift when necessary.
- Provide a weekend summary and participate in the Monday morning handoff to the weekday team.
- Perform additional duties as needed to support our clients, caregivers and management team.
Qualifications
- Previous professional caregiving experience is required.
- At least one year of scheduling, customer service or similar responsibilities.
- Home care scheduling or staffing experience strongly preferred.
- Strong problem-solving skills and the ability to make sound decisions independently.
- Ability to remain calm, professional and solutions-focused when dealing with unexpected staffing or client situations.
- Excellent verbal communication skills and a confident, professional phone presence.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Comfortable using computers, scheduling software, email and smartphone applications.
- Ability to learn and follow Home Matters Caregiving policies, procedures and employee guidelines.
- Must have a smartphone and reliable transportation for weekend field responsibilities.
- High school diploma or GED required.
- Must successfully complete required pre-employment assessments and criminal background screening.
Who Will Be Successful in This Role?
This position is best suited for someone who understands that home care doesn't stop on the weekends. You enjoy solving scheduling challenges, supporting caregivers and clients, and taking ownership when something unexpected happens.
You should be comfortable working independently from home on Saturdays and Sundays while also understanding that there may be times when you need to get in your car and provide hands-on support in the community.
