Job Summary
We are seeking a highly organized and professional Church Secretary to support the administrative functions of our church office. The ideal candidate will manage clerical tasks, coordinate communication, and assist with various office operations to ensure smooth daily activities. This role requires excellent organizational skills, proficiency in office management tools, and the ability to provide exceptional customer service in a faith-based environment.

This position is an onsite, part-time (approximately 24 hours per week). Work hours are flexible but must align with regular church office hours, Monday through Thursday, 9:00 a.m. to 5:00 p.m. Additional flexibility required during religious holidays, special services, and church events.

Office Reception Duties

  • Meet, greet, and assist those visiting the church office.
  • Answer church phone calls and direct callers to proper staff.
  • Check general church voicemails and emails then route accordingly.
  • Collect, Sort and Distribute Church Mail to appropriate department or ministry.
  • Maintain Recycling

Office Secretarial & Clerical Duties

  • Prep & Print Church Bulletin, service materials & other publications.
  • Prep & Print of Memorial, Funeral, Baptism, and other special service bulletins.
  • Support Memorial, Funeral, Baptism and other services by providing families with list of gifts, sending “Thank You” cards and other needs as assigned.
  • Prepare & Distribute Prayer and Scripture Readings for worship services.
  • Assist with Mass Printing, Mailings & Bulk Mail outs.
  • Ensure the flowers are ordered for the services.
  • Maintain Inventory and Purchase office supplies and other church supplies as necessary.
  • Maintain copiers and other office machinery.
  • Recycling of Bulletin and printed material.

Administrative Duties

  • Support Office Manager with assigned administrative tasks.
  • Assist with the recruitment of church & event volunteers.
  • Update membership records within Church’s Database.
  • Perform duties assigned or requested by Office Manager.
  • Assist Office Manager, Pastor(s) and other staff when needed.This position offers an opportunity to serve within a supportive community environment while utilizing your administrative expertise.

Required Skills

Proficient in Microsoft office 365 especially Word, Powerpoint, Publishing and/or other related software. Must have the ability to multi-task and meet required deadlines, including the ability to identify priorities and then execute them accordingly. Attention to detail with strong proof-reading skills a plus. The Position requires a high level of maturity and confidential discretion with all communications.

Pay: $19.00 - $21.00 per hour

Expected hours: 20 – 24 per week
