Make a Difference. Grow Together. Love What You Do.

Our mission is to bring purpose to every patient interaction, supporting the body’s natural ability to heal through personalized, integrative care that helps people feel heard, respected, and empowered to take an active role in their health and well-being.

At HMS, we believe healthcare should go beyond managing symptoms to understanding the whole person. Holistic Medical Services is an established, physician-led integrative medical practice led by Dr. Frank Matalone who brings decades of diverse medical experience. Our passion for functional and integrative medicine drives us to explore underlying causes and support the body through personalized, natural approaches to care. We’re seeking a Patient Care Coordinator / Medical Receptionist who shares our passion for holistic health and our mission or is eager to learn and sees this role as more than a job: a meaningful purpose. Exceptional patient care goes beyond answering phones and scheduling appointments; it means helping patients feel heard, supported, and genuinely cared for.

You’ll help patients feel informed and supported while keeping appointments, paperwork, payments, and communication organized. This is a hands-on role for someone who combines a welcoming and positive manner with accuracy, initiative, and dependable follow-through.

Why you may enjoy working here

  • A daytime schedule: Primarily Monday-Thursday, with most Fridays and weekends off. Rotating working one Friday or Saturday per quarter (about every other 4 months)
  • A professional setting with a personal touch: Patient care and responsibilities come first, with room for connection, laughter, and enjoying the people you work with.
  • Meaningful patient relationships: Help patients navigate their care and become a familiar, welcoming part of their experience.
  • Training and learning: Learn our systems, procedures, and services while developing your medical-office skills.
  • A collaborative team: Work with friendly and warm colleagues who communicate openly, help one another, and take ownership of their responsibilities.
  • Employee wellness perks: Eligible complimentary and discounted services and products at both our medical office and supplement store, subject to applicable policies and exclusions.

Join a supportive team with exceptional patient care, and a positive workplace culture. If you are passionate about helping others and want a role where your contributions truly matter, we would love to hear from you!

A Team That Stays
Most of our nurses and employees have been with HMS for years. We believe that speaks to the supportive team environment, meaningful patient relationships, and work-life balance we work hard to maintain.

Key responsibilities

The following summarizes the role’s primary responsibilities and is not an exhaustive list:

  • Welcome patients and manage check-in, check-out, and required paperwork.
  • Schedule and coordinate appointments accurately, following practice policies.
  • Handle calls, messages, emails, and follow-up with professionalism and care.
  • Explain scheduling requirements, office policies, and fees for physician-recommended services, referring clinical questions to the appropriate healthcare professional.
  • Process payments, maintain accurate patient information, and complete daily administrative and closing tasks.
  • Coordinate with clinical staff and protect patient privacy and confidential information.
  • After training, assist the Business Director/Office Manager with administrative tasks and provide floating support.

Who will thrive in this role

We’re looking for someone who:

  • Has a genuine interest in holistic, natural, or functional medicine and a desire to learn and grow with the practice.
  • Comfortable balancing competing priorities while remaining composed.
  • A clear communicator who works well with patients, colleagues, and management.
  • Proactive and able to work independently after training, while knowing when to ask for guidance.
  • Is highly organized, dependable, and pays close attention to details, particularly when handling patient information, scheduling, payments, and documentation.
  • Someone who exercises sound judgment, ownership of responsibilities, and reliable follow-through without constant supervision or reminders.
  • Understands the importance of treating patients and colleagues with kindness, respect, patience, empathy, and professionalism.
  • Comfortable learning new systems, following established protocols, and receiving constructive feedback.

Technology, Accuracy & Initiative

Demonstrate strong computer literacy, including accurate typing, navigating Microsoft Office programs, and learning new software applications which you will be trained on. Complete digital tasks with attention to detail, and proactively contribute ideas and support to help the team and practice succeed.

  • Strong verbal and written communication skills.
  • Computer proficiency, accurate typing, and the ability to learn new software.
  • Experience with electronic medical records or practice-management systems is a plus.
  • Ability to handle confidential information appropriately and follow established procedures.
  • Excellent organizational and strategic multitasking abilities.

Prior integrative medicine experience is not required, but it is preferred and candidates with medical and functional office experience are considered first. We provide training for someone with the right foundational skills and a genuine willingness to learn.

Employee Perks & Work-Life Balance

While HMS does not currently offer traditional health insurance benefits, we provide nontraditional employee perks designed to support your well-being and work-life balance, including:

  • PTO and designated paid holidays: Available to eligible employees following six month waiting period.
