Job Summary
As a Front Desk Agent, you will be the vibrant face of our organization, ensuring that every visitor and team member feels welcomed and valued. You will play a pivotal role in managing front desk operations, providing exceptional customer service, and maintaining an organized and efficient office environment.
What you’ll do
- Oversee daily front desk operations, ensuring smooth and efficient service for all visitors and staff.
- Manage multi-line phone systems, directing calls and addressing inquiries with professionalism and courtesy.
- Provide exceptional customer support by addressing concerns, resolving issues, and ensuring a positive experience for all guests.
- Maintain accurate records through data entry, filing, and bookkeeping tasks using QuickBooks and Google Workspace.
- Coordinate calendar management for appointments, meetings, and events to optimize scheduling efficiency.
- Train and supervise front desk staff in clerical duties, phone etiquette, and customer service best practices.
- Conduct proof reading of documents to ensure clarity and accuracy in all communications.
- Collaborate with other departments to enhance office management processes and improve overall workflow.
Basic qualifications
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Excellent typing skills with attention to detail for accurate data entry.
Preferred qualifications
- Experience as a dental or medical receptionist is highly desirable.
- Bilingual abilities are a plus to better serve our diverse clientele.
- Previous experience in an administrative role or as a personal assistant is beneficial.
