Duties
- Greet visitors, clients, and staff with enthusiasm and professionalism, ensuring they feel welcomed and valued
- Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette
- Handle incoming inquiries via phone, email, or in person, providing prompt and helpful support
- Maintain a clean and organized front desk area, including filing, data entry, and document proofreading
- Utilize office management software such as Microsoft Office, Google Workspace, and QuickBooks to perform administrative tasks
- Schedule appointments, manage calendars, and coordinate meetings with precision and efficiency
- Support office operations by performing clerical duties such as filing, photocopying, and managing correspondence
- Assist with bookkeeping tasks including basic data entry and record keeping to ensure accurate financial documentation
- Provide exceptional customer support by addressing questions or concerns promptly and professionally
- Maintain confidentiality of sensitive information while ensuring all records are up-to-date
Experience
- Previous office experience or administrative support roles preferred, especially in customer service or reception settings
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Good/Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and data entry tools, and PMS Systems (Property management system)
- Experience with multi-line phone systems and phone etiquette is essential for effective communication
- Demonstrated organizational skills with the ability to multitask efficiently in a fast-paced environment
- Clerical experience including filing, proofreading documents, calendar management, and time management skills are highly valued
- Personal assistant or medical/dental receptionist experience can be advantageous for understanding specialized workflows
