Duties

  • Greet visitors and clients warmly, providing excellent customer service and ensuring they feel welcomed and valued
  • Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette
  • Handle front desk responsibilities including scheduling appointments, maintaining visitor logs, and managing incoming correspondence
  • Perform data entry tasks with precision using computer literacy skills, including Microsoft Office and Google Workspace applications
  • Maintain organized filing systems—both physical and digital—ensuring easy retrieval of documents and records
  • Assist with calendar management, scheduling meetings, and coordinating appointments for staff or executives
  • Support office management functions such as ordering supplies, managing inventory, and overseeing general administrative operations
  • Conduct proofreading of documents to ensure accuracy and professionalism in all communications
  • Provide clerical support including photocopying, scanning, faxing, and mailing documents as needed
  • Manage bookkeeping tasks using QuickBooks or similar accounting software to assist with invoicing, expense tracking, and basic financial record keeping
  • Offer bilingual support when necessary to accommodate diverse clients or team members
  • Support medical or dental receptionist duties if applicable, including patient check-in/out processes and appointment confirmations
  • Assist personal assistants or executives with special projects or administrative errands to enhance overall efficiency

Experience
Candidates should possess prior office experience with a strong foundation in clerical duties and customer service. Proven proficiency in computer skills—including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Drive)—and familiarity with multi-line phone systems is essential. Experience with QuickBooks for bookkeeping tasks is highly desirable. Ideal applicants will demonstrate excellent organizational skills, time management abilities, and attention to detail through previous roles involving data entry, filing, proofreading, or administrative support. Bilingual capabilities are a plus for supporting diverse client needs. Candidates with experience as a receptionist in medical or dental settings or as a personal assistant will stand out. Strong phone etiquette and customer support skills are crucial for success in this role.
