Holden Forests & Gardens is seeking an Administrative Coordinator for our Education Department. The Administrative Coordinator receives and processes all education inquiries and registrations; handles all group tour and program requests; manages the finances and logistics associated with scheduling/charging for educational programming; provides program and financial reports and performs other office support as required. This position supports the Education department, manages program registration, and offers excellent customer service and communication. Although the central location is the Arboretum campus, the position will require a presence at both campuses, being at the Cleveland Botanical Garden at least once a week.

Position Details:
- Full-Time, Non-Exempt
- Reports to: Director of Education
- Must have a flexible schedule
- Must have reliable transportation to both the Holden Arboretum and the Cleveland Botanical Garden
Key Responsibilities of the Administrative Coordinator position include but are not limited to:
- Support Holden Forests & Gardens’ mission, vision, and values
- Manage the logistics of class offerings and assist the Adult Program Coordinator with class details/finances, and reporting
- Confirm program details with participants/groups (school/public classes/tours) and monitors evaluations
- Compile, analyze, and summarize statistical and revenue information and produce requested weekly, monthly, quarterly and annual reports
- Monitor and maintain program booking details
- Maintain registration database and offer recommendations for improvements for efficiency in all associated processes
- Register participants for education programs and events
- Invoices, accepts, and processes education payments and works with the finance department to ensure accuracy and reporting
- Handle inquiries and provide additional information about education programs and resolves any guest complaints in a professional manner.
- Maintains organized records and a complete file of standards of procedures (SOP’S) that are current
- Fulfill all processes for group tour requests
- Assist staff members with special projects and support as needed
- Work closely with Guest Services team at both campuses to ensure an efficient and accurate process
- Provide friendly, clear, and courteous customer service to encourage return visitation
- Demonstrate a passion for people and nature
- High school diploma or equivalent, required
- Two years of post-secondary education in business or office administration, preferred
- At least one (1) year of administrative experience, preferred
- Strong customer service skills and experience working with the public
- Highly proficient with the use of Microsoft 365 products, specifically Teams, Outlook email, and calendar
- Highly proficient in Word, PowerPoint, and Excel, and the ability to produce and use data tables and charts
- Experience with cloud-based enterprise business applications for managing invoices, budgeting, CRM, and other business processes
- Effective and appropriate verbal and written communication
- Ability to work within a team and be self-motivated when working independently
- Ability to take initiative and problem-solve
- Detail oriented; strong organizational and interpersonal skills
- Demonstrated ability to meet deadlines, adapt to shifting priorities and seasonal fluctuations in volume of work, and work on a team
- Must have a valid driver’s license or reliable transportation to get from one campus to another
