Summary
We are seeking a welcoming and professional individual to manage our front desk and to perform a variety of administrative and clerical tasks. In this position, you will be the first point of contact for our new Coworking Space. Duties include, but are not limited to, offering administrative support across the organization. You will be the first point of contact for visitors, guests, and members, ensuring an exceptional experience. In addition to maintaining the front desk, this role involves light administrative tasks, maintaining the cleanliness of the space, and providing support to the Chamber of Commerce as needed. To be successful in this role, you should have a pleasant personality, as this is also a customer service role.
Responsibilities

● Greet and welcome guests as soon as they arrive at the office
● Direct visitors to the appropriate person and office
● Assist visitors seeking daily passes and provide an overview of the coworking space’s amenities
● Ensure office areas are tidy and presentable
● Restock office areas with all necessary supplies and materials (e.g. refill printers with paper, stock pens, forms and brochures)
● Monitor the usage of the conference room and ensure it is only used by those with reservations
● Provide basic and accurate information in-person and via phone/email
● Offer area recommendations and answer general inquiries about the facility and surrounding community
● Maintain office security by following safety procedures and controlling access via the reception desk (guest access program)
● Update calendars and schedule meetings
● Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
● Assist the Chamber of Commerce with administrative tasks such as typing letters, creating flyers, scheduling meetings, and other clerical duties as assigned
● Other duties and responsibilities as assigned
Requirements & Qualifications
● High school diploma or equivalent required
● Proven work experience as a Receptionist, Office Administration, or similar role preferred
● Proficiency in Microsoft Office Suite and comfortable learning new software.
● Hands-on experience with office equipment (e.g. printers)
● Professional attitude and appearance
● Excellent interpersonal and communication skills
● Ability to be resourceful and proactive when issues arise
● Excellent organizational skills and attention to detail
● Multitasking and time-management skills, with the ability to prioritize tasks
● Customer service attitude
● Ability to lift up to 20 pounds and perform light cleaning duties
● Familiarity with coworking spaces and local businesses is a plus
