Experienced Portfolio Manager / Hybrid Onsite Manager – Homeowners Associations (HOA)Position Overview

HOA Organizers is seeking an experienced and highly organized Portfolio Manager to oversee a select portfolio of homeowner associations while maintaining an on-site presence at one community in Porter Ranch. This hybrid role is ideal for a community management professional who enjoys balancing strategic portfolio oversight with hands-on community engagement.

The successful candidate will manage a handful of HOA communities and be on-site at a Porter Ranch association approximately 12–20 hours per week, providing direct support to the Board of Directors, homeowners, vendors, and community operations.

Key Responsibilities:

The Community/Portfolio Manager is responsible for the full oversight and day-to-day management of assigned homeowner associations, ensuring operational efficiency, financial stability, and adherence to governing documents.

In addition to core administrative duties, the manager will:

  • Track, update, and follow through on action items from Board and committee meetings, ensuring accountability and timely resolution.
  • Prepare comprehensive Board meeting agendas and assemble detailed Board packets, including financials, reports, proposals, and supporting documentation.
  • Attend and actively facilitate Board of Directors meetings, providing professional guidance, managing meeting flow, and ensuring compliance with governance standards.
  • Serve as the primary liaison between the Board of Directors, homeowners, vendors, and internal teams, maintaining clear, timely, and professional communication.
  • Solicit, review, and present vendor proposals; coordinate project bidding processes; and assist the Board in making informed decisions.
  • Oversee and enforce governing documents (CC&Rs, bylaws, rules and regulations), including handling violations, architectural requests, and homeowner disputes with professionalism and consistency.
  • Identify, assess, and proactively address property maintenance and operational concerns to preserve asset value and community standards.
  • Conduct regular site inspections, document findings, and prepare detailed walk-through reports with recommendations and follow-up actions.
  • Coordinate and oversee vendors and contractors, ensuring quality performance, contract compliance, and timely completion of work.
  • Maintain and manage community systems, including parking programs, rental tracking, access control (fobs/remotes), and surveillance systems (when applicable).
  • Collaborate with accounting teams on budgeting, financial reviews, delinquency follow-up, and reserve planning to support the association's financial health.
  • Assist in the preparation of annual budgets, reserve studies, and long-term maintenance plans.
  • Manage emergencies and after-hours issues when applicable, exercising sound judgment and responsiveness.
  • Support Board education and onboarding, helping directors understand their roles, responsibilities, and best practices.
  • Ensure compliance with applicable laws, regulations, and industry standards related to HOA management.
  • Manage a small portfolio of HOA communities while maintaining an on-site presence at one Porter Ranch community for approximately 12–20 hours per week.

Requirements

  • 2–5 years of successful HOA management experience.
  • CMCA, AMS, or PCAM certification required.
  • Strong knowledge of HOA operations, governance, budgeting, vendor management, and California HOA regulations.
  • Excellent communication, organizational, and conflict-resolution skills.
  • Ability to work independently while managing multiple priorities and deadlines.
  • Flexible schedule to accommodate site inspections and evening Board meetings.
  • Reliable transportation for site visits and community engagement.
  • Proficiency with HOA management software and Microsoft Office applications preferred.

Job Type: Full-time

Pay: $80,000.00 - $90,000.00 per year
