What are the responsibilities and job description for the Admissions & Outreach Manager position at HMS School for Children with Cerebral Palsy?
HMS School is seeking an Admissions & Outreach Manager to oversee the student admissions process of
attracting and enrolling new students, from initial contact through enrollment, by working with prospective
families, School Districts, other community referral sources, and HMS Program Staff.
This position prospects referral sources for new students; handles inquiries; processes and verify application
materials; maintains admissions databases; schedules interviews and campus tours; and collaborates with other
staff to meet enrollment goals.
Job Duties/Responsibilities (includes but not limited to):
- Develop and implement a comprehensive admissions plan, from inquiry to enrollment, to meet annual enrollment targets
- Create awareness and demand among potential referral sources for student enrollment/services
- Ensure all admissions procedures comply with school policies and regulations.
- Recognize potential for partnership and broader relationship, including contracted evaluation for district partners, as well as broader building among partners beyond admissions
- Act as the primary point of contact for consultants, parents, educators, physicians, and other referral sources to increase school-wide admissions efforts
- Strengthen and maintain communication with school districts, agencies, and parents throughout the application and admissions process, providing information, guidance, and support.
- Represent HMS at conventions, conferences, meetings, seminars, or other off-site events that will increase student applications and enrollment
- Respond to and solicit intake telephone, email, mail, or other inquiries from parents and/or professional referral sources, tracking all admissions-related interactions, from inquiry to enrollment
- Arrange for parental and professional visits; escorts and provides tours of campus
- Manage communications with families, past and present, that financially support the institution
- Establish and maintain internal and external systems for recruitment, application, evaluation, funding, and enrollment of students
- Collect and analyze referral and admissions data to understand the admissions lifecycle from how families have heard about HMS to why they leave
- Conduct outreach, research, and data/trend analysis by building relationships with various school districts and like-minded organizations/educational institutions to understand admissions trends in the region, inform recruitment strategy, and provide regular reports to leadership and the admissions evaluation team on admissions status and performance
- Organizing and leading admissions evaluation meetings, tracking paperwork, contacts, and communication with parents and school districts regarding the process, including contracts to the business operations manager
- Work with the business office on funding requirements, filing PDE 4010/4011, contracts, and other sources
Education/ Experience:
- Bachelor’s Degree, advanced degree (social work preferred)
- Training and experience in one or more of the following areas: special education administration, social work, special education, recruitment and outreach, care coordination, case management, or related field
- Experience in sales or developing community partnerships is a plus
