Position Overview:
The Domestic Purchasing Specialist supports the day-to-day activities of the Domestic Purchasing department. This role will initially focus on managing orders, tracking, providing support in areas such as vendor communication, data entry, reporting, inventory-related tasks, and other purchasing functions as needed. This position plays a key role in helping ensure timely and accurate order processing, recordkeeping, and coordination across internal departments and external vendors.
Essential Job Functions:
- Support the daily operations of the Domestic Purchasing department.
- Manage order placement, and order tracking
- Maintain detailed and accurate records for orders, pricing, ETA updates, tracking information, and related purchasing data.
- Create and process purchase orders as needed across assigned vendors and product categories.
- Communicate with vendors regarding order status, lead times, quality concerns, and other follow-up items.
- Work closely with internal departments to ensure orders are placed accurately and completed on time.
- Enter and maintain accurate notes, updates, and records in the appropriate systems.
- Assist with report review, report building, and general data entry related to purchasing activities.
- Provide pricing and lead time information to internal teams as requested.
- Assist with inventory-related tasks, special projects, quotes, and other departmental support functions as needed.
- Help identify and resolve order, vendor, or process issues in a timely manner.
- Provide additional operational support where needed based on workload and departmental priorities.
Requirements:
- High school diploma or equivalent required.
- Prior purchasing, order management, customer service, administrative, or related experience preferred.
- Strong communication skills with the ability to work effectively across all levels of the organization.
- Strong organizational, time management, and follow-up skills.
- Strong attention to detail and accuracy.
- Proficient in Microsoft Office applications, particularly Outlook and Excel.
Other Skills/Abilities:
- Experience with AS400 preferred but not required.
- Ability to manage multiple tasks and priorities in a fast-paced environment.
- Strong problem-solving skills and ability to respond quickly to changing needs.
- Experience with reporting, order tracking, and vendor communication is a plus.
Physical Demands:
- Seated at a desk for extended periods of time while working on a computer.
- May perform occasional minimal lifting of office supplies or materials as needed
