This is not a routine administrative role. You'll serve as a central support resource for our field and office teams, helping coordinate travel, licensing, project logistics, operational systems, office administration, and company-wide initiatives. Success in this position requires strong organizational skills, attention to detail, urgency, problem-solving ability, and a genuine desire to help others succeed.

What You'll Do
Support Our Field Teams
- Coordinate travel for superintendents and field personnel, including flights, hotels, rental vehicles, and related logistics
- Assist with project mobilization and startup activities
- Coordinate shipments, deliveries, equipment, safety supplies, and project support materials nationwide
- Help field teams quickly resolve operational and administrative needs
- Track project closeout requirements and support successful project turnover
Manage Licensing & Compliance
- Coordinate contractor licensing, renewals, and registrations across multiple states and municipalities
- Maintain compliance calendars and tracking systems
- Communicate with agencies, clients, and internal teams regarding licensing requirements
- Maintain organized records and documentation
- Assist with subcontractor insurance compliance tracking
Keep Operations Running Smoothly
- Serve as a key point of contact for office operations and administrative support
- Manage office supplies, equipment, shipping, mail, and general office organization
- Coordinate vehicle registrations, inspections, toll accounts, and parking administration
- Manage company-issued mobile devices, tablets, and related equipment
- Maintain records, trackers, reports, and operational databases
Support Company Initiatives
- Assist leadership and operations teams with special projects
- Help improve processes and systems across the organization
- Support workforce planning and staffing updates
- Administer operational platforms and assist users with setup and troubleshooting
- Provide responsive support to both office and field personnel
What We're Looking For
Required Qualifications
- 3 years of experience in an administrative, operations, office management, or coordination role
- Exceptional organizational and multitasking abilities
- Strong attention to detail and follow-through
- Excellent written and verbal communication skills
- Ability to prioritize competing demands in a fast-paced environment
- Strong proficiency with Microsoft Office (Outlook, Excel, Word, Teams)
- A proactive, solutions-oriented mindset
Preferred Qualifications
- Experience in construction, project-based environments, logistics, or operations support
- Experience managing licensing, compliance, travel coordination, or office administration
- Experience working with operational software platforms and online portals
