Position Overview:
We are seeking a professional and organized Receptionist to manage front desk operations and provide administrative support, including mail handling duties. This position is ideal for someone who enjoys interacting with people, staying organized, and ensuring smooth daily office operations.
Key Responsibilities:
- Greet and welcome visitors, clients, and employees in a courteous and professional manner.
- Answer, screen, and direct incoming phone calls to appropriate staff members.
- Manage the front desk area to ensure it is clean, presentable, and well-organized.
- Receive, sort, and distribute incoming mail and packages to appropriate departments.
- Prepare outgoing mail and coordinate pick-ups with postal and courier services.
- Maintain logs of incoming and outgoing mail for tracking purposes.
- Handle deliveries and ensure packages are properly documented and stored.
- Schedule appointments, manage conference room bookings, and support office scheduling needs.
- Assist with basic administrative tasks such as data entry, filing, and document preparation.
- Support various departments with clerical tasks and special projects as needed.
Qualifications:
- Previous experience as a receptionist, front desk associate, or administrative assistant preferred.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic computer skills.
- Excellent organizational skills and attention to detail.
- Ability to handle mail and packages efficiently and accurately.
