Job Description: Employee Success Specialist (Contractor)
Location: Indianapolis, IN (Hybrid – 3 days onsite)
Duration: 6 Months (Little potential for extension)
Pay Rate: $27/hr on W2
Start: ASAP – ideally before the New Year
Team: Background Investigation Team within Recruiting Operations
Experience Required: 2–4 years (Background Investigation experience required)
Overview
The Employee Success Specialist will join the Employee Success Shared Services team with the opportunity to help design and support a global HR shared services delivery model. This contractor’s role is high-volume and adjudication-heavy, primarily due to the acquisition of Informatica, which will introduce hundreds (potentially 1,000 ) background investigation orders. Most cases will require support with criminal forms and answering employee questions.
The ideal candidate has experience in background investigation adjudication, HR shared services, customer support, and case management tools. They must be comfortable handling confidential information, working in a fast-paced environment, and supporting employees across multiple HR functions.
Key Responsibilities
- HR Support & Shared Services
- Serve as the initial point of contact for employees regarding HR policies, programs, and practices.
- Assist with onboarding administrative tasks, including new hire paperwork and general inquiries.
- Help resolve issues related to benefits, compensation, immigration, and some employee relations matters, following established escalation processes.
- Maintain strong process, program, and policy knowledge to accurately assist employees.
- Work cross-functionally with Payroll, IT, and other partner groups.
- Background Investigation (Primary Focus)
- Manage a high volume of background investigation cases.
- Review, process, and adjudicate background checks—especially criminal forms.
- Answer employee questions related to background investigations.
- Ensure accuracy, compliance, and timely resolution of cases.
- Case Management
- Record and track employee interactions using a case management tool (ServiceCloud experience is teachable).
- Ensure each case is resolved, closed properly, and documented accurately.
- Monitor trends and provide feedback on process improvements.
- Data Integrity & Auditing
- Own data auditing and data integrity for all employee activity.
- Audit new hire information, employee changes, and onboarding data.
- Support SOX compliance processes and assist with internal and external audits.
- Process & Project Support
- Provide continuous feedback on trends, processes, and improvements.
- Maintain operating procedures and online files.
- Support HR system testing when required.
- Respond to employment verifications not handled by the outsourced provider.
- Contribute to team operations, especially during high-volume hiring cycles.
Required Qualifications
- Bachelor’s degree in HR or minimum 1 year of HR service environment experience.
- Must-have: Background investigation adjudication experience.
- Experience with HR shared services preferred.
- Strong communication (written and verbal) and customer service skills.
- Excellent listening skills and the ability to manage sensitive situations.
- High attention to detail, strong time management, and organizational skills.
- Ability to maintain confidentiality and handle sensitive information.
- Skilled in diagnosing issues and executing solutions.
- Proficiency with MS Word, Excel (including pivot tables & formulas), PowerPoint, Google Workspace.
- Ability to work in a fast-paced environment with competing priorities.
- Strong project management abilities.
- Knowledge of regional employment laws and practices.
Preferred Skills
- Experience with global HR systems (Workday, ADP).
- Experience with global employment law and HR practices.
- Experience working across multiple HR disciplines and regions.
- Experience with case management systems (ServiceCloud preferred).
- Familiarity with cloud-based HR applications.
- Additional Details
- Must be in Indianapolis and able to work onsite 3 days/week.
- Part of a small background investigation team within Recruiting Operations.
- Will support current M&A (Informatica) and possibly additional M&As during the contract.
- Some standard new hire cases may also be assigned.
