Job Summary
Our client is looking for a Site Administrator to join their construction team. In this role, you will oversee the administrative and operational functions of the site office, ensuring smooth workflows and effective support for the on-site Construction Management team. You will manage document control processes, facilitate communication between the site and home office, and support essential construction operations, procurement coordination, and project documentation. The ideal candidate thrives in a dynamic environment, can juggle multiple priorities, and has a keen eye for detail.
Key Responsibilities
- Champion and enforce all site safety policies, procedures, and “Stop Work Authority” expectations.
- Coordinate and lead document control activities, ensuring timely delivery and processing of drawings, revisions, and other project documents.
- Work closely with project management to maintain consistent document control practices across all projects.
- Monitor project schedules to ensure timely processing and distribution of documents.
- Maintain internal and external metadata requirements and suggest process improvements when needed.
- Assist in arranging staff housing, site visits, and other logistical needs for project personnel and leadership.
- Support site orientation activities and safety audits as directed by the HSES lead.
- Lead site office setup and demobilization activities during different phases of construction.
- Manage project handover requirements, including preparation of both hard and soft copy documentation at project completion.
- Develop and maintain a strategy for archiving project documents.
- Track and manage distribution of all project-related materials.
- Maintain clear communication and coordination between multiple offices and construction teams.
- Record, issue, and file meeting minutes to document discussions and action items.
- Create and process purchase requisitions and change orders, review invoices for accuracy, and route them for approval.
Skills & Qualifications
- Minimum 4 years of experience in engineering-related document management.
- Strong proficiency with Google Workspace.
- Excellent organizational skills and ability to manage large, complex tasks in a fast-paced environment.
- Exceptional communication and coordination skills to work effectively across teams, departments, and external partners.
- Ability to evaluate complex issues and implement corrective actions.
- Technical aptitude and willingness to learn about industrial technologies, including air separation units, backup systems, and water treatment processes.
- Previous experience in construction administration and document control is required.
Education
- High school diploma or GED required.
