Our client is seeking a highly organized and detail-oriented Executive Administrative Assistant to provide advanced administrative and operational support to their executive leadership team. This position plays a key role in managing communications, coordinating meetings and events, overseeing budgeting activities, and ensuring the smooth operation of the department in a fast-paced, collaborative environment.
The ideal Executive Administrative Assistant will be proactive, professional, and confident in supporting multiple executives, managing sensitive information, and handling competing priorities with discretion and efficiency.
Key Responsibilities
Provide high-level administrative support to executives, including calendar management, travel coordination, meeting planning, and correspondence.
Prepare reports, presentations, and documentation for management, committee, and board meetings.
Assist with budget planning and tracking; monitor variances and prepare explanations as needed.
Maintain and update internal management tools, policies, and procedures.
Coordinate information flow within the department and with other teams across the organization.
Act as a liaison between internal staff, executives, and external partners.
Support onboarding for new hires and liaise with IT for system setups and technology needs.
Manage special projects and assist with internal events or initiatives as assigned.
Ensure confidentiality and professionalism when handling sensitive information.
Support department operations with a strong sense of initiative, accountability, and follow-through.
Qualifications
Education:
High school diploma or GED required
Bachelor’s degree preferred
Experience:
Minimum 7 years of administrative experience, including 3 years supporting executives
Experience within a financial institution preferred
Technical Skills:
Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, SharePoint)
Familiarity with Concur is a plus
