Front Office Administrative Assistant & Sub Coordinator (Anticipated) Needed
Location: Hinesburg Community School

Hinesburg Community School (HCS) is seeking a professional, organized, and welcoming Front Office Administrative Assistant & Sub Coordinator (Anticipated) to join our team starting FY27. This year-round position serves as the primary point of contact for students, families, staff, and visitors, ensuring the daily operations of the front office are safe, efficient, and hospitable.
The successful candidate will exercise independent judgment within established district procedures and handle confidential student and staff information with the highest level of integrity.
Primary Responsibilities
- Serve as the first point of contact for the school community; manage incoming calls, monitor security systems (Verkada), and enforce visitor safety protocols.
- Manage student sign-in/out procedures, tardy slips, early dismissals, and daily bus notes.
- Manage Frontline absence coverage and arrange daily substitute staffing to ensure consistent classroom support.
- Prepare and distribute the Daily Notice and SchoolMessenger communications; maintain online Family and Staff Handbooks.
- Process and mail standardized testing results (VTCAP) and progress reports while maintaining accurate student records.
- Lead the planning and execution of School Picture Day and graduation activities.
- Process building use forms, field trip paperwork, and volunteer/chaperone documentation in accordance with CVSD requirements.
The Ideal Candidate Will Possess
- A High school diploma or equivalent (required); two or more years of administrative or clerical experience.
- Proven ability to manage multiple tasks in a fast-paced environment with exceptional attention to detail.
- Experience handling confidential information and maintaining professional boundaries.
- Strong interpersonal skills with the ability to communicate courteously and effectively with students, faculty, and families.
- High self-control, stress tolerance, and the ability to maintain composure in a busy front office setting.
- Familiarity with PowerSchool, Frontline, SchoolMessenger, or similar educational systems (preferred).
- A strong commitment to equitable, inclusive educational practices and an exemplary work ethic.
